Position Summary

The Fleet Support is responsible for supporting fleet operations by managing parts inventory, coordinating procurement, and providing administrative and technical support to maintenance and operations teams. This role ensures vehicles and equipment remain operational by maintaining accurate parts availability, vendor coordination, and service documentation.

Key Responsibilities

Fleet Parts Management

  • Manage inventory of fleet parts, tools, and supplies across maintenance locations
  • Order, receive, and distribute parts to ensure minimal vehicle downtime
  • Monitor inventory levels and recommend reorder points
  • Track part usage, warranty status, and core returns
  • Maintain accurate inventory records in fleet maintenance or ERP systems

Fleet Support & Coordination

  • Support technicians and fleet staff with parts sourcing and availability
  • Coordinate with vendors, dealerships, and service providers
  • Assist with scheduling outside repairs and managing service documentation
  • Process purchase orders, invoices, and warranty claims
  • Ensure compliance with company policies and fleet procedures

Documentation & Reporting

  • Maintain service records, work orders, and maintenance documentation
  • Track maintenance costs and assist with budget reporting
  • Generate reports on parts usage, costs, and inventory trends
  • Support audits and compliance reviews as needed

Vendor & Relationship Management

  • Establish and maintain relationships with parts suppliers and vendors
  • Negotiate pricing, lead times, and return policies when applicable
  • Evaluate vendor performance and recommend improvements

Safety & Compliance

  • Ensure proper handling, storage, and disposal of parts and materials
  • Support fleet compliance with DOT, OSHA, and company safety standards
  • Promote best practices for maintenance efficiency and safety

Required Qualifications

  • High school diploma or equivalent required; associate degree or technical training preferred
  • 2+ years of experience in fleet maintenance support, parts management, automotive, or heavy equipment environment
  • Strong knowledge of vehicle parts, maintenance processes, or fleet operations
  • Proficiency in inventory management systems and Microsoft Office (Excel, Outlook)
  • Strong organizational, communication, and problem‑solving skills
  • Ability to multitask in a fast‑paced environment

Preferred Qualifications

  • Experience with fleet management software (e.g., Fleetio, RTA, Samsara, or similar)
  • Knowledge of DOT compliance and fleet regulations
  • Automotive or diesel parts certification
  • Experience supporting a medium to large fleet (50+ vehicles)

Physical Requirements

  • Ability to lift up to 50 lbs
  • Ability to work in a shop or warehouse environment
  • Occasional travel between fleet locations may be required

Work Environment

  • Combination of office, shop, and warehouse settings
  • May require flexible hours based on fleet operational needs
