Maintenance Fleet Admin

Paul Transportation is hiring a detail-oriented and tech-savvy Maintenance Fleet Admin to support our maintenance department with data accuracy, inventory control, and performance reporting. In this role, you'll use Fleetrock software to manage critical maintenance records, streamline inventory workflows, and help ensure our fleet runs smoothly and efficiently.

Key Responsibilities

Fleetrock & Data Management

  • Maintain accurate fleet records in Fleetrock software
  • Verify and enter maintenance data, ensuring system integrity
  • Generate reports to track shop efficiency and identify opportunities for improvement

Warranty Support

  • Review internal and vendor invoices to assess warranty eligibility
  • Communicate with third-party vendors to confirm coverage and ensure correct warranty processing

Inventory Management

  • Conduct daily cycle counts and reconcile inventory records
  • Issue parts to in-house technicians and document usage
  • Order and track parts from outside vendors as needed

Parts Room

  • Maintain accurate and organized inventory in the parts room
  • Ensure incoming parts are received, labeled, and put away in correct locations
  • Keep the parts room clean, orderly, and compliant with shop procedures
  • Monitor stock levels and reorder points to ensure availability of essential parts
  • Support inventory audits and ensure data matches physical stock

Reporting & Preventive Planning

  • Collaborate with the maintenance team to support scheduled maintenance and repairs
  • Assist in preventive maintenance program development
  • Support budgeting by tracking costs and identifying cost-saving opportunities

Qualifications

  • 2+ years of experience in fleet maintenance, inventory control, or related roles
  • Proficient in maintenance software (Fleetrock preferred) and data reporting
  • Familiarity with warranty processes and vendor communications
  • Strong organizational skills and attention to detail
  • Prior experience in the trucking, logistics, or automotive industry
