Job description

Location: Hybrid - Lancaster, Palmdale, Phelan, Desert Hot Springs, Merced, Yuba City, Tulare, Farmersville, Tehachapi, Chico

Location Status: Work will be primarily performed onsite at our office or remotely by telecommuting from your home office 2 - 4 days per week. Employee may be required to utilize personal phone or internet services to perform telecommuting with reimbursement. Occasional travel to and work from other Race offices or other off-site locations may be required.

Position Impact:

The Fleet Admin is responsible for supporting all aspects of Race's vehicle fleet, from maintenance and repair to fuel management and driver training ensuring that it runs efficiently and cost-effectively. The Fleet Admin maintains a detailed database of all vehicles and their maintenance records, managing fuel and maintenance expenses, and overseeing the dispatch of vehicles to various locations. The Fleet Admin is also responsible for scheduling repairs and maintenance, managing the company's fuel card program, and monitoring driver behavior and performance. The role requires excellent communication skills, as the Fleet Admin will be responsible for coordinating with various teams within the company, including HR, IT, Finance, and Operations. Availability to work nights, weekends, holidays, and overtime as needed to support emergency response, outage restoration, and urgent maintenance for 24/7

Requirements

Qualifications and Experience:

  • Eligibility for US Employment without sponsorship
  • Minimum of 18 years of age
  • Associate degree (A.A.) in a related field of study is preferred, or an equivalent combination of education and experience will be considered
  • A valid driver's license, subject to successful verification through a DMV check, is mandatory
  • At least 2-3 years of experience in fleet management or a related field
  • Experience with vehicle maintenance and repair, fuel management, and asset tracking systems
  • Knowledge of local and state regulations related to fleet management and transportation a plus
  • Mastery in the use of fleet management software and data analytics tools
  • Proficiency in the use of Fleetio and Geotab is strongly preferred
  • Proficiency in accurate and efficient data entry
  • Availability to work nights, weekends, holidays, and overtime as needed to support emergency response, outage restoration, and urgent maintenance for 24/7 operations
  • The ability to effectively communicate in English, including speaking, reading, writing, and comprehension, as necessary for effective job performance and workplace communication
  • Proficiency in Spanish Language desirable

Skills:

  • Proficient use of MS Office applications including Teams, Word, Excel, and PowerPoint; teleconferencing applications
  • Functional use of common office equipment, computers, and office software

Essential Duties and Responsibilities:

Fleet Maintenance and Management:

  • Monitors the allocation and safe utilization of fleet vehicles and equipment
  • Schedules vehicle maintenance and repair, coordinating with service providers to ensure operational readiness
  • Manages fuel cards, monitors fuel consumption in compliance with company policies
  • Maintains an accurate record of all vehicles, including purchase dates, service history, and resale values
  • Generates reports on fleet performance, such as fuel efficiency, vehicle utilization, and maintenance costs
  • May also assist with the procurement, maintenance, and disposal of fleet vehicles and equipment

Driver Management and Compliance:

  • Ensures all drivers possess valid licenses and adhere to the company's driving standards
  • Assists in coordination of insurance claims

Continuous Improvement:

  • Stays updated with the latest trends and technologies in fleet management
  • Identifies new opportunities for improvement and implements best practices to optimize fleet operations

Vehicle Maintenance and Travel:

  • Maintains a clean driving record as defined by the current fleet insurance underwriter

       Availability to work nights, weekends, holidays, and overtime as needed to support emergency response, outage restoration, and urgent maintenance for 24/7 operations.

Safety Protocols:

  • Adheres to safety protocols and guidelines outlined in the Race employee handbook and job description to promote a safe work environment
