Financial Secretary/CustodialJOB STATUS: OPEN POSTING DATE: 04/17/2026 POSTING NUMBER: 053013 LOCATION: Custodial Services South - 934 POSITION TITLE: Financial Secretary/Custodial
JOB DESCRIPTION:
Manage department payroll systems and assist the Coordinator of Custodial in the efficient management of the department and present a positive image to the staff and public.
DUTIES and RESPONSIBILITIES:
  1. Perform routine bookkeeping tasks and maintain department budget records.
  2. Prepare and process department purchase orders and payment authorizations.
  3. Order and maintain inventory of office supplies and program equipment.
  4. Maintain a schedule of appointments and make travel arrangements for department staff.
  5. Prepare bidding documents.
  6. Maintain bid and purchasing files.
  7. Assist department employees with payroll and absentee questions. Record absences to Outbook when necessary.
  8. Answer and respond to incoming calls, take reliable messages and route to appropriate staff.
  9. Manage moving crew and repair crew work orders, receive, create, execute, and complete them.
  10. Prepare correspondence for Director and Coordinator.
  11. Compile data necessary for reports and forms for administration.
  12. Maintain office procedures in the building administration area.
  13. Respond to emergency calls as needed and be on-call/stand-by as assigned by supervisor.
  14. Maintain confidentiality.
  15. Regular attendance.
  16. Other duties as assigned.

EXPERIENCE:
  • Two (2) years secretarial work experience
  • Bookkeeping experience
QUALIFICATIONS:
Minimum Education/Certification
  • High School Diploma or GED

Special Knowledge/Skills
  • Typing, filing, bookkeeping
  • Communication - telephone, meeting students, parents, and public
