Finance Secretary

Toyota of Rockwall

Rockwall, TX

Qualifications

  • High School Diploma/Equivalent or higher
  • Must have basic computer skills
  • Must have excellent phone and communication skills
  • Dealership experience preferred
  • Clear background, drug screen

Responsibilities

  • Verify all deal jackets for accuracy and completeness before submission.
  • Ensure all required customer signatures, disclosures, and supporting documents are obtained.
  • Input and maintain customer, lender, and vehicle information in the dealership management system (DMS).
  • Submit completed finance packages to lenders and funding sources as directed.
  • Track funding status and follow up on outstanding stipulations with lenders and customers.
  • Maintain accurate records of funded and pending deals.
  • Coordinate with the Sales, Accounting, and Title departments to ensure timely completion of transactions.
  • Assist F&I Managers with preparing contracts, product paperwork, and compliance documents.
  • Review deals for compliance with dealership policies and federal, state, and lender requirements.
  • Scan, file, and maintain electronic and physical deal jackets in accordance with record retention policies.
  • Answer incoming calls and assist customers with questions related to finance documentation.
  • Schedule customer appointments for contract corrections or additional signatures when needed.
  • Order and maintain office supplies for the F&I department.
  • Maintain confidentiality of customer financial and personal information.
  • Assist with dealership audits by organizing and providing requested documentation.
  • Communicate professionally with lenders, vendors, and internal departments to resolve documentation issues.
  • Monitor daily funding reports and notify management of outstanding or delayed funding.
  • Perform other administrative duties as assigned by the F&I Director or General Sales Manager.
