Reports To: Chief People Officer & Chief Advancement Officer

About Mosaic

At Mosaic, we believe in real life and real possibilities. We are a mission-driven, values-led whole-person healthcare organization spanning a 12-state network. We dedicate our days to supporting people with diverse needs, including intellectual and developmental disabilities, behavioral health, and senior living. We love our mission, and we support each other every single step of the way.

If you are looking for a rigid corporate ladder to climb, this might not be your fit. But if you want your administrative talents to directly impact lives, foster organizational culture, and build a stronger community, you belong here.

The Opportunity

We are looking for a high-energy, detail-oriented Executive Assistant to join our collaborative administrative team. In this role, you will provide crucial daily support to two of our key leaders: our Chief People Officer and Chief Advancement Officer.

This is the perfect role for a skilled coordinator or mid-level assistant who has mastered the administrative basics and is ready to step up into a highly visible, mission-centric executive support role. You will act as the "heart and hub" of these two offices, balancing a warm, welcoming presence with sharp organizational skills. Because our leaders travel and manage a multi-state network, this role offers a fluid hybrid schedule-allowing you to balance focused, independent work from home with vital, collaborative onsite days for meetings and executive alignment.

What You'll Do (Your Impact)
  • Be a Steward of Time & Energy: Proactively look ahead at the weekly and monthly calendar, ensuring our leaders have the exact materials, context, and data they need before they even have to ask.
  • Coordinate Strategic Travel: Arrange seamless travel and itineraries that prioritize executive wellness and productivity, keeping our leaders focused on the mission.
  • Act as a Culture Ambassador: Build a strong internal network; leverage collaborative partnerships with other administrative leaders to synchronize efforts and amplify our reach.
  • Manage with Warmth & Firmness: Serve as a trusted, high-EQ point of entry for everyone from passionate donors to frontline staff, making sure everyone feels valued even when the schedule is tight.
  • Curate Experiences: Help design and run high-impact team summits and speaking engagements, managing everything from the strategic agenda flow to genuine hospitality.
  • Keep Us on Track: Assist with executive communications, synthesize information for meetings, and handle daily financial administrative duties like expense management and budget tracking.
Who You Are
  • Experienced & Ready to Grow: You have at least 3 to 5 years of solid administrative experience. Prior experience supporting a senior leader is preferred, but your drive, adaptability, and emotional intelligence matter most.
  • Education: You hold an Associate's Degree or have equivalent professional experience.
  • Adaptable: You possess a "fluid" approach to work-you easily shift gears in real-time to match the evolving needs of two different office styles and a dynamic hybrid environment.
  • Tech-Savvy: You know how to utilize digital tools and technology to keep virtual and in-person meetings running flawlessly.
Extras We Think You'll Love

Because we are a non-profit, we pour our resources into our people and our mission. We offer:

  • Competitive non-profit compensation and comprehensive health insurance.
  • Flex Time Off to ensure you can take care of your own well-being.
  • Tuition Reimbursement and continuous professional and personal development opportunities.
  • A workplace culture where you are genuinely appreciated and supported every day
