GENERAL DESCRIPTION: The Executive Assistant is responsible for performing complete administrative functions for the General Manager and others members of management within the organization. Duties may vary depending on the fluctuating business needs. Occasionally handles confidential matters.
Essential Functions:
  • Coordinate all company tradeshows
  • Coordinate and arrange all company travel as needed
  • Manage passport and visa requirements for internal travelers
  • Complete customer certifications
  • Organize company meetings
  • Edit and proof marketing literature and materials as required
  • Proofread various documents as requested
  • Maintain internal phone list
  • Maintain company cell phone list
  • Monitor expense report mileage
  • Update and renew company and industry related memberships
  • Maintain company agreements and contracts
  • Sort and distribute incoming mail to applicable departments
  • Assist Accounting Department with difficult-to-collect accounts

Required Knowledge, Skills, and Abilities:
  • Must handle the position with confidentiality and professionalism
  • Excellent written and verbal communication skills; must be direct and hands on
  • Desire for proactive organizational skills and high attention to detail
  • Self-starter attitude
  • Dependable & punctual work attendance is required
  • Capable of working with several senior level managers and executive level staff
  • Proficient in Microsoft Office Suite products, Adobe
  • Must be able to work independently with little direction or supervision

Required Education and Experience:
  • Bachelor's degree preferred
  • 3-5 years of administrative support experience working in a corporate environment
