Job description

Position Summary:
The Event Operations Manager is responsible for overseeing the planning and logistics for the execution of events while ensuring operational efficiency across event setup, inventory management, staffing coordination, and property readiness. This role combines event management with hands-on operational oversight to ensure that all events are executed to the highest standards.
The Event Operations Manager will manage event installations, maintain inventory and equipment, oversee warehouse organization and on-property storage, coordinate event staffing schedules, and ensure the property and grounds are prepared for each event. The position works closely with wedding/event planners to seamlessly bring an event vision to life.
This role requires strong organizational skills, attention to detail, and the ability to work both strategically and hands-on in a fast-paced event environment.
Key Responsibilities: 
Event Operations & Execution: 
  • Oversee the operational planning and execution of events.
  • Manage event installation and breakdown including placement of furniture, décor, lighting, and equipment.
  • Ensure event setups meet company standards, client expectations, and event layouts.
  • Troubleshoot and resolve operational issues during event setup and execution.
  • Coordinate logistics for event materials, rentals, and equipment.

Inventory Management: 
  • Maintain and manage event inventory including furniture, décor, linens, equipment, and supplies.
  • Track inventory levels and coordinate replenishment as needed.
  • Ensure inventory is properly cleaned, stored, labeled, and organized.
  • Maintain accurate inventory records and conduct periodic audits.

Inventory Maintenance: 
  • Perform routine maintenance and light repairs on event furniture, décor, and equipment.
  • Identify items requiring repair or replacement and coordinate solutions.
  • Maintain cleanliness and usability of inventory items.

Warehouse & Storage Management: 
  • Assist in warehouse organization and inventory storage systems.
  • Maintain orderly and efficient loading areas and storage spaces.
  • Manage on-property storage and ensure items are accessible and well maintained.
  • Ensure efficient packing and staging of event materials.

Logistics & Physical Operations: (This is a HANDS-ON POSITION)
  • Load and unload trucks for event transport.
  • Prepare and stage equipment for upcoming events.
  • Ensure safe handling of inventory and equipment.
  • Must be able to lift and move up to 50 pounds.

Staffing Coordination: 
  • Create and manage event server schedules and staffing assignments.
  • Coordinate event staffing needs based on event size and service requirements.
  • Communicate schedules and event details with service staff.
  • Ensure proper staffing levels for event execution.

Property & Grounds Oversight: 
  • Ensure the property and event spaces are maintained and prepared for events.
  • Monitor grounds and facilities to maintain appearance and functionality.
  • Coordinate maintenance needs and ensure event spaces remain event-ready.

Minimum Qualifications:
  • 3+ years of experience in event operations, hospitality operations, or event management.
  • Strong organizational and project management skills.
  • Experience managing inventory, logistics, or warehouse operations preferred.
  • Ability to multitask and manage multiple events simultaneously.
  • Strong leadership and communication skills.
  • Hands-on, team-oriented approach to operations.
  • Ability to lift 50 pounds and perform physical event setup tasks.
  • Flexible schedule including evenings and weekends as required by events.

Hours and Work Days: Our standard work week is Tuesday-Saturday.  Friday and Saturday are required work days. Please do not apply for this position if you are not available on weekends.
