Given the complexity and high volume of these administrative tasks, the Program Support Coordinator role is essential for maintaining operational efficiency, fiscal accountability, and regulatory compliance within the regional TDLs framework. This position is critical for mitigating the risk of billing inaccuracies and potential non-compliance with federal funding regulations.
Financial and Regulatory Compliance
  • Manage a high volume of RIPs and TARs, meticulously preparing each document to ensure accuracy and compliance. Ensuring clear and accurate cost estimates or sole source justifications.

  • Monitor multiple charge codes and government funding, ensuring strict adherence to federal directives and financial regulations.
  • Process labor corrections and verified that travel, materials, and other direct costs (ODCs) were accurately charged to the correct charge codes and MIPRs.
  • Create and maintained Individual Work Authorizations (IWA) records for the TDP.
  • Review, quality-assurance check, and closed-out work orders to ensure compliance with CPF standards and accurate accounting of repairs and parts consumption.
  • Analyze and compile data from various sources to prepare comprehensive financial reports and interpret key findings.
  • Ensure billing accuracy and regulatory compliance, mitigating the risk of financial penalties and operational disruptions.

Administrative and Operational Support
  • Coordinate and manage travel expenses for employees.
  • Maintain travel and expense profiles to streamline the reimbursement process.
  • Facilitate the onboarding process for new employees, ensuring a smooth transition and integration into the team.
  • Organize and schedule training sessions to support the professional development of team members.
  • Maintain confidential personnel records, including training certifications and professional qualifications.
  • Manage calendars and scheduled appointments and meetings for program leadership and team members.
  • Update and maintain presentation materials to accurately reflect project status and progress.
