Job description

We are seeking a detail-oriented and organized Project Administrator to support Project Managers and ensure the administrative side of projects runs smoothly. This role is ideal for someone who is highly organized, customer-service focused, and comfortable managing multiple priorities in a fast-paced office environment.
The Project Administrator will serve as an important point of contact for customers while assisting with contracts, invoicing, job documentation, payments, and other administrative processes.
Responsibilities
- Assist Project Managers with day-to-day administrative duties and project processes
- Maintain accurate and up-to-date job information and documentation
- Prepare contracts, invoices, and other project-related paperwork
- Audit completed jobs to ensure information is accurate and complete
- Serve as a point of contact for customers and facilitate professional communication, both verbally and in writing
- Answer incoming phone calls and direct customers to the appropriate Project Manager or staff member
- Communicate and coordinate with insurance and mortgage companies
- Collect and apply customer payments to accounts
- Assist the Accounts Payable team with entering purchase orders
- Maintain organized records and documentation
- Meet deadlines and prioritize multiple tasks while maintaining accuracy
- Provide professional and responsive customer service throughout the project process
Qualifications
- Strong written and verbal communication skills
- Previous experience answering phones and directing calls in a professional office environment
- Knowledge of QuickBooks
- Strong computer skills and ability to learn new software and systems
