Position Summary:

The Project Administrator plays a critical role in supporting the successful execution of construction and renovation projects through strong administrative, operational, and project coordination support. This position serves as a key resource for Project Managers, Superintendents, and field teams by maintaining accurate project documentation, coordinating schedules, assisting with procurement activities, and ensuring compliance with project requirements.

The ideal candidate is highly organized, detail-oriented, and capable of managing multiple priorities in a fast-paced environment. This role is responsible for supporting project workflows, permit and inspection coordination, document control, material procurement assistance, and various administrative functions that help keep projects on schedule and operate efficiently.

How you will contribute to our TEAM:

  • Project Administration & Coordination
    • Support Project Managers and field teams with scheduling, project tracking, and coordination of project activities.
    • Assist with material procurement, purchase orders, equipment requests, and delivery coordination.
    • Coordinate permits, inspections, subcontractor requirements, and other project-related administrative tasks.
  • Documentation & Compliance

    • Maintain accurate and organized project documentation, including daily reports, photos, permits, RFIs, submittals, change orders, and closeout documents.
    • Ensure project records are complete, current, and compliant with company and client requirements.
    • Manage digital and physical filing systems and support document control processes.
  • Financial & Operational Support

    • Assist with invoice processing, job cost tracking, and labor reporting.
    • Enter and maintain project information within project management and accounting systems.
    • Support procurement tracking, inventory records, and other operational reporting needs.
  • Team Support & Communication

    • Provide administrative support to Project Managers, Superintendents, and Operations leadership.
    • Facilitate communication between office staff, field teams, vendors, and subcontractors.
    • Support efficient workflows and contribute to continuous process improvement initiatives.

Knowledge, Skills, Ability, & Experience

  • Qualifications
    • High school diploma or equivalent required; associate or bachelor’s degree preferred.
    • Minimum 3 years of administrative, project coordination, or construction support experience preferred.
    • Experience supporting multiple projects in a fast-paced environment.
