Primary Function

The Senior Bid Manager is an experienced bid management professional responsible for independently owning and executing the full pursuit lifecycle for complex, high-value, and strategically significant opportunities from pricing intake through contract execution, while also leading and mentoring a small team Bid Managers. Operating with a high degree of autonomy, the Senior Bid Manager coordinates customer-facing communication in close partnership with Commercial Account Managers and orchestrates all internal disciplines - including Legal, Safety, Commercial Terms, Engineering, Estimating, Scheduling, and Proposal Development - to ensure every deliverable meets customer expectations on time and with full commercial awareness. The Senior Bid Manager serves as the day-to-day lead and escalation point for assigned Bid Managers and contributes to the continuous improvement of bid management processes and standards. The position will be based in our Houston, Texas office located at 12031 Kurland Dr, Houston, TX 77034 and will report to Dashiell's Vice President, Pre-Construction.

Duties & Responsibilities

Employee may be called upon to perform any or all of the following functions:

Team Leadership & Workload Management

  • Lead, coach, and develop Bid Managers, providing day-to-day guidance, workload oversight, and performance support.
  • Oversee assigned Bid Managers' pursuit portfolios, ensuring consistent quality, process adherence, and on-time delivery across all active bids.
  • Serve as the primary escalation point for assigned Bid Managers on contractual, legal, scheduling, or customer-facing issues that require senior-level judgment.
  • Contribute to the development and refinement of team standards, templates, and workflows in partnership with the Director of Bid Management.

Opportunity Intake & Pricing Handoff

  • Receive and formally onboard complex or high-priority projects into the Pre-Construction workflow, applying advanced commercial judgment to assess risk, scope, and pursuit strategy at intake.
  • Coordinate customer-facing communication in close partnership with Commercial Account Managers, ensuring a seamless experience and continuity of relationship throughout the pursuit.
  • Schedule and facilitate the Negotiation Kickoff meeting to align internal stakeholders at the outset of each pursuit.
  • Schedule and facilitate the Bid Review meeting prior to bid submission, ensuring all commercial, contractual, and technical concerns are resolved before delivery.

Internal Coordination & Accountability

  • Coordinate across Legal, Safety, Commercial Terms, Engineering, Estimating, Scheduling, and Proposal Development to drive a unified and complete bid response on assigned pursuits.
  • Ensure that appropriate parties review any contractual exhibits that may have a commercial impact on their respective group, and that all concerns are surfaced and resolved before submission.
  • Hold the Pre-Construction Group - including Engineering, Estimating, Construction, and Field Services - accountable for internal communication to ensure all customer deliverables and expectations are met, including pricing, clarifications, bid forms, requirements, and schedules.
  • Maintain accurate pursuit stage tracking in the opportunity tracking system as each bid progresses through the pipeline.
  • Coordinate Kickoff (KO) meetings internally between the Pre-Construction and Execution teams, including Owner/Engineer (O/E) sessions and Change Order (CO) reviews.

Legal & Contractual Management

  • Engage the legal team with contractual or terms documents requiring redlining or review; independently manage complex or high-stakes legal coordination with minimal direction.
  • Incorporate the outcomes of legal negotiations with customers - particularly those affecting pricing guidelines - into the Pre-Construction process.
  • Collaborate with customers and the legal team to prepare contractual documents for execution; obtain final legal approval before requesting signatures.
  • Acquire signatures from the appropriate authorized signatories.

Bid Delivery & Customer Communication

  • Prepare complete and compliant bid packages - including redlines, clarifications, and supporting documentation - for delivery to the customer by the Commercial Account Manager.
  • Coordinate clarification discussions between the customer and the Pre-Construction Group and/or legal team; deliver required responses or amendments through the appropriate channel.
  • Coordinate external Kickoff meetings between the customer and Execution Team leads.

Relationship Development & Retention

  • Follow up with customers periodically to gather feedback that improves Pre-Construction processes and supports the Execution Team, promoting repeat business.
  • Coordinate customer relationship-building activities that develop strong partnerships between Dashiell and key customer personnel, in full compliance with applicable customer guidelines.

Process Improvement & Team Contribution

  • Identify opportunities to improve bid management workflows, templates, and standards; develop and share recommendations with the Director of Bid Management.
  • Support onboarding of new Bid Managers by sharing expertise and providing structured guidance on pursuit execution and commercial best practices.
  • Perform special projects and complete other duties as assigned or requested.

How You Will Make an Impact

  • Lead a small, high-performing bid management team that delivers consistent, quality proposals on Dashiell's most complex and highest-value pursuits.
  • Own the most demanding opportunities end to end - ensuring every bid moves through the pipeline with precision, from pricing intake to contract execution.
  • Reduce commercial and contractual risk through expert legal coordination and thorough review of all contractual obligations before commitment.
  • Enable Commercial Account Managers to deliver a seamless customer experience by managing the internal coordination and accountability behind every assigned bid.
  • Develop the next generation of Bid Managers through day-to-day coaching, escalation support, and a commitment to team growth and process excellence.
