Description:
Under general supervision, performs a variety of general secretarial, transcription, and administrative/office support functions for the Light & Power Director. Serves as a liaison between Light & Power Department, Finance Department, and customers to analyze, monitor, and correct electric utility accounts, and to help track and maintain department financial budgets. Position is within a high pressure-heavy workload department with unavoidable deadlines and extraordinary public scrutiny. The successful candidate must be self-motivated and serve as the primary point of contact in resolving customer service issues and general public inquiries.
Qualifications:
Must be a high school graduate. Experience equivalent to three years full-time secretarial/clerical support work; or completion of a post high school training program in secretarial sciences, Office Management, or closely related area may substitute for one year of the required experience. A two year or four year degree in secretarial sciences or a closely related area is desired. Must be able to type 55 wpm. Must have advance knowledge of Word, Excel, and PowerPoint. Knowledge of Photo Shop is desirable. Knowledge of office management practices and procedures. Experience in reviewing and analyzing financial reports desirable. Skilled in following complex oral and written instructions, policies, and procedures. Ability to work under pressure and be multi-task oriented. Job requires high analysis qualities and ability to be very detail oriented and accurate. Ability to maintain and handle confidential information. Ability to establish and maintain effective working relationships with other staff, department heads, and the public. Must be able to work at public meetings two to three nights per month. Experience as a Public Information Officer desired.
Responsibilities:
Prepares correspondence, periodic reports, minutes of public meetings, board meetings, payroll and timesheet; maintenance of confidential files; compiles statistics and information as directed; sets up and types reports and similar presentation materials; acts as intermediary between the staff and the public, including directing telephone calls to appropriate parties, prepares letters, and schedules meetings; prepares and maintains a variety of payroll and financial records; processes invoices, purchase orders and enters P-Card purchases to the Finance Department. Work closely with contractors and electricians to coordinate temporary power for new construction, power disconnects for service upgrades and/or property demolition. Coordinate travel arrangements for department personnel. Maintain inventory for office supplies. Helps other department employees to process on-line information and data who do not have computer access. Will act as the Public Information Officer for the department.

Must have excellent customer service, and have the confidence and ability to learn answers to routine questions, and furnish accurate information to help expedite the Department's commitment to customer service.
