Job description

Assistant Secretary

Performs administrative and secretarial support necessary to accomplish objectives established by the Building Principal with support from the Head Secretary. Adapts to a variety of responsibilities. Presents a positive image in contact with the parents, community and staff. Properly handles confidential matters relating to students, student records, parents, staff and any other school related issues. Support functions include attendance, discipline, and athletics tracking.

High School Diploma or equivalent as required by OAR 581-37-030, Oregon Department of Education. Must be 18 years of age. Must be able to pass a background check. Knowledge of current office methods, practices and procedures. Business English, spelling and mathematics. Proficiency with office technology. Computer programs such as (but not limited to) Excel, Word, Publisher, Outlook, Synergy, Bluebear and browser proficiency are essentially helpful. Ability to perform clerical work with speed and accuracy. Learn, interpret and apply school policies, laws, rules and regulations. Make mathematical calculations. Spell correctly and use standard English. Proficient typing skills. Understand and carry out oral and written directions. Maintain effective relationships with fellow employees, students and the general public. Operate a computer and related equipment. Perform physical requirements which may include: Ability to navigate school environments Ability to transport materials, access files, and navigate school spaces, with reasonable accommodations provided as needed. Ability to use a telephone, computer, and other office equipment Ability to make frequent trips to and from desks, counters, etc. as well as other areas in the school building.

Types correspondence, memos and similar materials from copy, rough draft or general instructions which may require original composition. Keeps records requiring a high degree of accuracy. These may include receipting of money collected, attendance, maintenance of student files and similar records. Answers phones and greets visitors, distributes mail, staff notes, and takes messages or provides information within specific areas of authority. Typically requires frequent use of judgment and district and school policies and practices. Maintains confidentiality of records and other stated information. Knowledge of first aid and procedures concerning the dispensing of medications. Records and inputs daily attendance and monitors period-by-period attendance. Processes and inputs discipline data. Creates Athletic Sports lists and verifies eligibility requirements. Assists with medication documentation and health office support. Accurately maintains attendance and ensures that teachers have submitted their period attendance. Assists with inventory of office supplies. Supports conflict de-escalation. Maintains organization of shared office space. Acts as a mandated abuse reporter. Knowledge of Astoria School District Policies and building procedures. Regular and acceptable attendance is required. Other related duties as assigned.
