Administrative Assistant - Adult Inpatient Substance Use Disorder Treatment

Location: Pyramid Healthcare - Newport News, Virginia
Schedule: PRN (As Needed) | Weekend Availability Required
Compensation: $16.00 per hour

Position Summary

We are seeking a highly organized and dependable PRN Administrative Assistant to support the daily operations of our adult inpatient substance use disorder treatment program. This role serves as the face of our facility, managing front office operations while providing critical administrative support to ensure efficient program functioning. The ideal candidate is flexible and available to work as needed, including weekends.

Key Responsibilities
  • Serve as the first point of contact for clients, visitors, and staff.
  • Manage front desk operations in a professional and welcoming manner.
  • Coordinate and schedule client appointments.
  • Perform general administrative duties, including filing, copying, scanning, and data entry.
  • Prepare, assemble, and maintain client intake packets and documentation.
  • Order, receive, and track office and program supplies.
  • Assist with admissions paperwork and billing sheet preparation.
  • Maintain census reports, intake/discharge logs, and other required records.
  • Process check requests and manage petty cash documentation.
  • Communicate effectively with referral sources, vendors, and outside providers.
  • Attend staff meetings and accurately record meeting minutes.
  • Provide additional administrative support as needed.
Qualifications
  • High School Diploma or GED required.
  • Previous administrative experience required; healthcare or behavioral health experience preferred.
  • Strong organizational skills with exceptional attention to detail.
  • Ability to prioritize tasks and manage multiple responsibilities effectively.
  • Excellent verbal and written communication skills.
  • Proficiency in Microsoft Office Suite and data entry systems.
  • Ability to maintain confidentiality and professionalism in a healthcare setting.
  • Must be available to work weekends as needed.
