We are looking for a dependable, organized and detail-oriented Administrative & Accounting Coordinator to join our small professional team.
This is a hands-on position for someone who enjoys variety and wants to be involved in multiple areas of a business, including accounting support, order processing, customer service, purchasing and general administration.

Responsibilities   Accounting & Billing

•    Assist with Accounts Receivable and Accounts Payable
•    Prepare and submit customer invoices and account statements
•    Process customer payments and credit card transactions
•    Research and resolve billing and payment discrepancies
•    Maintain accurate transaction records
•    Prepare routine reports and supporting documentation

Order & ERP Processing

•    Enter and process customer sales orders
•    Enter and process purchase orders
•    Process web orders and related transactions
•    Maintain accurate information in our ERP system
•    Review orders and documentation for completeness and accuracy
•    Assist with purchasing and vendor-related transactions

Customer & Vendor Support

•    Communicate professionally with customers and vendors by phone and email
•    Respond to questions regarding orders, invoices, payments and order status
•    Coordinate internally to help resolve customer and vendor issues
•    Prepare professional emails and business correspondence

Administrative Support

•    Assist with time-sheet administration and record-keeping
•    Prepare reports and spreadsheets
•    Maintain organized electronic records and documentation
•    Assist management with administrative projects as needed

Qualifications

•    2+ years of relevant professional experience in administration, accounting support, AP/AR, billing, order processing, customer service, or a related field
•    Strong attention to detail and accuracy
•    Excellent written and verbal communication skills
•    Strong organizational and follow-through skills
•    Ability to manage multiple priorities
•    Proficiency with Microsoft Excel, Word and general business software
•    Comfortable learning and working with ERP/business systems
•    Good basic mathematical and problem-solving skills
•    Professional, dependable and positive attitude

Associate’s or Bachelor’s degree preferred, but relevant professional experience is equally valued.
Experience with AP/AR, billing, purchasing, ERP systems, order processing or bookkeeping is especially desirable.

Compensation & Benefits
$25.00–$30.00 per hour, depending on experience and qualifications.
