Job description

We are seeking an Administrative Assistant (CPA Firm) to join our team! You will perform clerical and administrative functions in order to drive company success.

Responsibilities:

  • Answer and direct inbound telephone calls in a professional and courteous manner.
  • Greet and assist clients, visitors, and other onsite guests.
  • Draft correspondence, client communications, and other formal documents.
  • Plan and schedule appointments, meetings, and firm events.
  • Monitor and distribute incoming mail, email, and faxes.
  • Process, assemble, and distribute completed tax returns.
  • Track tax return workflow, filing statuses, and client deliverables.
  • Process and track Forms 1099 and other information returns.
  • Maintain records of tax filings, deadlines, and confirmations.
  • Facilitate new client onboarding, including engagement letters and required documentation.
  • Set up, update, and maintain client records and contact information.
  • Develop and maintain organized electronic and physical filing systems.
  • Scan, organize, and archive client documents in accordance with firm procedures.
  • Manage office supplies, mailings, and general office operations.
  • Provide administrative support to partners and staff and perform other duties as assigned.
