About the Role

Are you a highly organized and detail-oriented individual looking to launch or advance your career in finance? Do you have a knack for accurate data entry and a desire to learn the ins and outs of financial operations? We're looking for an Accounts Receivable Assistant to join our operations team!

In this vital support role, you will be key to maintaining our financial health by assisting with daily accounts receivable tasks, ensuring accurate record-keeping, and helping our billing processes run smoothly. Responsibilities

  • Assist with invoice processing: Support the timely and accurate preparation and issuance of invoices to clients.
  • Process payments and handle data entry: Accurately process and post incoming customer payments, ensuring all transactions are properly recorded in the accounting system.
  • Perform account maintenance: Help monitor the accounts receivable aging report and assist in identifying and resolving basic billing discrepancies under supervision.
  • Support collection efforts: Draft and send routine follow-up communications (emails/calls) to clients regarding outstanding payments, maintaining positive and professional relationships.
  • Maintain precise financial records: Organize, file, and ensure the accuracy of financial documents and supporting paperwork.
  • Cross-functional support: Work collaboratively with the Accounts Receivable Clerk/Manager and other departments (sales, customer service) to field and resolve basic billing inquiries.
  • Clerical duties: Assist in preparing customer statements and compiling basic reports detailing accounts receivable status as requested.

Qualifications

  • 6 months to 2 years of experience in an administrative, clerical, or data entry role, preferably within a finance or accounting department, OR equivalent completed college coursework.
  • Exceptional attention to detail and a high level of accuracy in data entry and record-keeping.
  • Excellent communication and organizational skills with a professional and customer service-oriented demeanor.
  • Proficiency in Microsoft Office Suite, especially Excel, and a willingness to learn new accounting software quickly.
  • Familiarity with basic accounting principles is a plus.
  • Strong time management skills to manage daily tasks effectively and meet deadlines.

Physical setting: Office Schedule: 8-hour shift, Day shift, Monday to Friday
