Job Description
We are seeking a Medical Office Manager to become a part of our team! The ideal candidate for this position will have experience in a fast-paced work environment, a deep understanding of medical office functions, and at least three (3) years experience managing greater than 5 team members.
Responsibilities:
- Manage the daily operations of an outpatient office including, but not limited to staffing, scheduling, timekeeping, billing, patient care, and/or other tasks
- Establish, implement, and enforce team adherence to and comprehension of company policies and procedures
- Manage an office team including, Patient Service Representatives and Medical Assistants, or other support team
- Coach and develop the outpatient team and assist in prioritizing work assignments
- Coordinate and supervise the orientation and training of new team members
- Assist team in prioritizing work assignments and monitor progress
- Work directly with the team to maintain excellent customer service is provided to every visitor and/or caller
- Assist when needed with front desk and medical assistant tasks
- Monitor co-pay collections and daily transaction logs for accuracy
- Monitor and supervise maintenance of a clean environment in exam rooms, front desk reception area, and common areas of the office to ensure patient safety and to make efficient use of space
- Order and maintain inventories to support office operations, including office supplies, medical supplies, and vaccines
- Closely collaborate with clinicians to ensure maximum efficiency in the outpatient workflow
- Work closely with the Director of Finance to monitor and manage the office budget, including financial planning and expense control
- Maintain HIPAA and OSHA compliance
- Manage MU, PQRS, MIPS, MACRA , or the current incentive for Quality - CMS programs
- Handle patient inquiries, complaints, and concerns with empathy in a professional and timely manner
- Liaise with IT vendor for team and clinicians; pharmaceutical representatives regarding medication samples, patient assistance programs, and clinician education; and billing management company to identify and resolve issues
- Provide technical support to team and clinicians as needed
Qualifications:
- Proven experience in healthcare preferably ambulatory or outpatient setting (5 years)
- Experience in a managerial role
- In-depth knowledge of medical administrative support functions and procedures
- Proficient in practice management software
- Strong leadership skills with the ability to effectively manage a team
- Excellent organizational and multitasking abilities
- Exceptional communication and interpersonal skills
- Excellent written and verbal communications skills
