Position Summary

The Medical Office Assistant provides administrative support to nursing and clinical operations while ensuring efficient day-to-day office functions. This position assists with medical records, client documentation, communication, and facility coordination while maintaining a high level of professionalism, organization, and confidentiality.

Essential Duties & Responsibilities
  • Organize, maintain, and update medical records and client charts with accuracy and confidentiality.
  • Perform administrative duties including answering phones, filing, copying, scanning, faxing, mailing, and document management.
  • Prepare and maintain client admission packets and assist with intake-related documentation.
  • Support nursing and clinical teams with documentation needs and administrative coordination.
  • Maintain accurate records including census updates, intake/discharge logs, and required facility paperwork.
  • Assist with communication between internal departments and external referral sources as needed.
  • Attend meetings, document meeting minutes, and assist with maintaining office procedures and resources.
  • Monitor office supplies, maintain equipment, and coordinate service needs when necessary.
  • Support a clean, organized, and professional office environment.
  • Assist with client transportation and supervision when needed, ensuring proper documentation is completed.
  • Maintain strict confidentiality of all client, employee, and organizational information.
  • Complete all required company and regulatory training.
  • Perform other duties as assigned.
QualificationsRequired
  • High school diploma or equivalent.
  • Valid driver's license.
  • Strong organizational skills and attention to detail.
  • Ability to manage multiple priorities in a fast-paced environment.
  • Professional communication skills and ability to work effectively with clinical and administrative teams.
Preferred
  • Previous experience in a medical office, administrative assistant, unit secretary, or healthcare support role.
  • Experience working in a behavioral healthcare, residential treatment, or healthcare environment.
  • Post-secondary education or technical/business school training.
