POSITION: Advancement Administrator

REPORTS TO: Senior Director of Advancement

STATUS: Full-time

RANGE: $50,000 - $65,000

SUMMARY: Founded in 1901, Brooklyn Law School is a distinguished, independent law school located in Downtown Brooklyn, New York. The fundamental mission of Brooklyn Law School is to provide its students with a comprehensive legal education that gives them the knowledge, skills, and ethical values needed for a career in the law.

Reporting directly to the Senior Director of Advancement, the Advancement Administrator will assume a pivotal role in enhancing the daily operations of the Department, alongside overseeing its physical presence in Feil Hall. Key responsibilities include generating essential reports and documentation crucial for effective departmental monitoring and functioning, encompassing expenditures, budgets, invoices, equipment, facilities, supplies, and promotional materials.

Responsibilities include:

  • Greet and assist alumni visitors, donors, students, and stakeholders of the Advancement Office in a professional and friendly manner. Serve as backup for the alumni inbox and phone lines as needed.
  • Manage and maintain the physical location of the Advancement Department within Feil Hall to create a conducive work environment, including daily management and coordination of incoming and outgoing mail.
  • Collaborate with Advancement Services to support the updating and maintenance of alumni records in the database, ensuring the accuracy and currency of information.
  • Prepare and generate reports, budgets, and financial documentation, contributing to the effective monitoring and operation of the department.
  • Coordinate with Director’s to manage expenditures, invoices, and financial records to ensure accuracy and compliance.
  • Collaborate to schedule and coordinate internal and external meetings, ensuring optimal time management and the participation of key stakeholders.
  • Coordinate All-Staff meetings, staff retreats, and special training sessions, and manage and maintain Advancement team calendars.
  • Coordinate equipment installation and maintenance, ensuring the smooth operation of departmental resources.
  • Handle inventory management, distribution, and tracking of promotional materials, supplies, and resources.
  • Collaborate with various stakeholders, including vendors, consultants, and internal staff, to ensure smooth operations and timely completion of projects.
  • Participate in training sessions and seminars to enhance knowledge in areas related to safety, management, and best practices.
  • Maintain comprehensive records of departmental procedures and policies to facilitate efficiency and communication.
  • Works in collaboration with the Senior Director of Advancement to coordinate projects for student workers and interns.
  • Support other projects as needed and assist with Advancement events as required.

Required:

  • Bachelor’s degree with at least 3 years of experience in a professional office setting, preferably in higher education.
  • Proven track record in operations and project management, ideally within a higher education or nonprofit environment.
  • Strong organizational, analytical, and problem-solving abilities.
  • Excellent written and verbal communication skills, with the capacity to convey progress, concerns, and recommendations diplomatically and promptly. Proficiency in budget management, financial reporting, and documentation.
  • Self-motivated with the ability to manage multiple tasks, prioritize effectively, and meet deadlines consistently.
  • Familiarity with relevant software and tools for operations and project management, including CRM databases, Microsoft Suite, Excel, Zoom, and LinkedIn.
