Position Description: As Administrative Assistant/Event Coordinator you will manage the day-to-day operations as it relates to events scheduled in our Corporate office conference center along activities related to the normal duties of the position of Administrative Assistant.
The diverse functions of this position also require the ability to juggle competing priorities, initiative, proactive problem-solving and sound decision-making with the goal of achieving clear communication, efficient office operations and procedures, and effective management of multiple projects. A high degree of flexibility, discretion and confidentiality are required.
Essential Duties and Responsibilities:Assist in all aspects of office operations with the direction of our Executive Assistant. Duties include, but not limited to the following:
Assist with planning of a wide variety of event types from internal events such as board meetings and retreats, to working with external groups who schedule the use of our conference center
Support onsite event logistics as required, to include catering and conference center layout
Coordinate with leadership team and other entities as required
Ensure office supplies are stocked and keep the supply room neat and organized
Responsible for the set up/breakdown of meeting rooms in coordination of the building services team
Greets and directs guests. Notifies the appropriate teammate and escorts the visitor to the appropriate meeting room
Perform other similar duties as assigned or required by the Executive Assistant or Leadership Team
Minimum Qualifications:Ability to manage many functions and projects concurrently
Ability to maintain strict confidentiality
Possess strong interpersonal and communications skills (written and verbal)
Possess excellent organizational and time management skills
Have 1-3 years of previous experience in an administrative role
Be proficient in software tools including Microsoft Office (Word, Excel, Outlook and Power Point)
Possess attention to detail and accuracy in work
Professionalism with a customer-service oriented mindset
Genuine caring for and interest in the care of mature adults, children, people with disabilities and hospice patients
Excellent oral and written communication skills, interpersonal skills and computer literacy
$20.00 - $22.00 Hourly
