Technical Administrative Assistant
Location: Onsite in Deerfield Beach, FL
Shift: Monday - Friday at 8am to 5pm
Reports to: Warranty Supervisor

We are seeking a detail-oriented and customer-focused Technical Administrative Assistant to support our Technical Services Department, contractor registration programs, and warranty administration processes.
Position Summary
The Technical Administrative Assistant serves as a key point of contact for contractors, customers, and internal teams by providing support related to contractor registration, warranty requests, and general technical service inquiries. This role requires strong attention to detail, excellent communication skills, and the ability to manage multiple administrative responsibilities while delivering a high level of customer service.
What You'll Do
  • Serve as a first point of contact for basic Technical Services phone inquiries and provide timely assistance or direct inquiries to the appropriate Polyglass team member.
  • Review contractor registration applications for accuracy, validate certificates of insurance and references, and process contractor approvals.
  • Schedule and manage Technical Services group teleconference meetings.
  • Issue Registered Contractor Certificates, welcome materials, and instructional documentation.
  • Assist the Warranty Supervisor processing warranties and support with claims against active manufacturer's warranties.
  • Support contractors and building owners with warranty-related questions and requests.
  • Review, enter, process, and issue warranty requests while ensuring accuracy and completeness.
  • Track expired certificates of insurance, request updated documentation, and maintain accurate records.
  • Prepare invoices for full system warranties and track payment status in coordination with accounting.
  • Maintain organized contractor and warranty records.
  • Prepare correspondence and documentation for customers and representatives under the direction of the Warranty/Technical Services Supervisor.
  • Provide professional, solution-oriented customer service to internal and external stakeholders.
  • Perform additional duties and projects assigned.

Required Qualifications
  • High School Diploma or equivalent.
  • Proficiency with Microsoft Office applications including Outlook, Teams, Word, Excel, and PowerPoint.
  • Experience working with enterprise systems such as ERP, MRP, or CRM platforms (Salesforce experience is a plus).
  • Strong organizational skills with excellent attention to detail.
  • Ability to manage multiple priorities and meet deadlines.
  • Excellent written and verbal communication skills.
  • Experience with data entry

Preferred Qualifications
  • Associate degree or additional related education preferred.
  • Previous customer service or administrative support experience.
  • Experience with Salesforce and/or SharePoint is a plus.
  • Experience supporting warranty, contractor, construction, or manufacturing-related processes is beneficial.
  • Roofing experience is a plus
