Job description

NTS is seeking a highly organized and detail-oriented Technical Administrative Assistant to support a project in Richmond, VA.

This position is primarily focused on administrative coordination, documentation, scheduling, communication, reporting, and project support. The ideal candidate is organized, dependable, professional, and comfortable managing multiple administrative tasks while supporting project managers, field personnel, clients, and internal teams.

This is an excellent opportunity for someone who enjoys keeping projects organized, tracking details, coordinating schedules, and ensuring that administrative tasks are completed accurately and on time.

Key Responsibilities

Administrative & Project Support

  • Provide day-to-day administrative support for the project.
  • Maintain project files, records, documentation, and correspondence.
  • Organize and maintain electronic and physical project documentation.
  • Assist with preparing project reports, status updates, spreadsheets, and presentations.
  • Track project activities, deadlines, deliverables, and outstanding items.
  • Maintain accurate project information and ensure documentation is kept current.
  • Assist project managers with administrative tasks and follow-up activities.
  • Prepare meeting agendas, notes, action items, and follow-up documentation.
  • Track action items and communicate outstanding tasks to appropriate team members.

Scheduling & Coordination

  • Coordinate meetings, appointments, conference calls, and project-related activities.
  • Maintain project calendars and schedules.
  • Coordinate schedules between internal teams, vendors, contractors, and client representatives.
  • Communicate schedule changes and updates to appropriate personnel.
  • Assist with coordinating site activities and project meetings.
  • Follow up with team members regarding deadlines and outstanding assignments.

Communication & Customer Support

  • Serve as an administrative point of contact for project-related communications.
  • Respond to emails and phone calls professionally and promptly.
  • Communicate project updates and administrative information to internal and external stakeholders.
  • Maintain professional relationships with clients, vendors, contractors, and NTS team members.
  • Escalate questions or issues to the appropriate project manager when necessary.

Reporting & Data Management

  • Compile information from various sources for project reports.
  • Maintain spreadsheets and tracking documents.
  • Enter and update project information accurately.
  • Monitor project documentation for completeness and accuracy.
  • Assist with preparing weekly and monthly project status reports.
  • Track project milestones, deliverables, and administrative requirements.
  • Identify missing information and follow up with appropriate personnel.

General Office Support

  • Assist with document preparation, formatting, proofreading, and filing.
  • Organize correspondence and project communications.
  • Assist with printing, scanning, copying, and document distribution.
  • Maintain organized project records.
  • Assist with purchasing, invoices, expense documentation, and other administrative processes as assigned.
  • Perform other administrative and project-support duties as needed.

Required Qualifications

  • High school diploma or GED required.
  • 1-3 years of administrative, office, project coordination, or related professional experience preferred.
  • Strong organizational and time-management skills.
  • Excellent attention to detail and accuracy.
  • Strong written and verbal communication skills.
  • Proficiency with Microsoft Office, particularly Outlook, Word, and Excel.
  • Ability to maintain organized records and documentation.
  • Ability to manage multiple tasks and priorities.
  • Ability to meet deadlines and follow through on assignments.
  • Professional demeanor and strong interpersonal skills.
  • Ability to work independently while also collaborating effectively with a team.
  • Ability to handle confidential and sensitive information appropriately.

Preferred Qualifications

  • Previous project coordination or project administration experience.
  • Experience supporting construction, technology, facilities, government, financial services, or other large-scale projects.
  • Experience working with project schedules, status reports, spreadsheets, or tracking systems.
  • Experience coordinating multiple stakeholders, vendors, or contractors.
  • Familiarity with project-management software or ticketing/work-order systems.
