Interstates is looking for an Administrative Assistant to support our Technical Training Team. In this role, you'll help keep training operations running smoothly by coordinating schedules, logistics, communication, and documentation. You'll play an important part in creating a well-organized and positive experience for instructors, apprentices, and new hires.
What You'll Do
Support Training Coordination
  • Provide administrative support across the Technical Training team
  • Schedule training sessions, meetings, and onboarding-related activities
  • Support onboarding coordination for craft new hires and apprenticeship programs
  • Coordinate travel and accommodations for training classes
  • Help manage training logistics, communication, materials, and facility-related needs
  • Serve as a communication point between instructors, apprentices, hotels, vendors, and internal teams
Organize Documentation and Administrative Work
  • Collect, organize, and maintain course assessments, evaluations, training records, and other documentation
  • Support reporting, data organization, and administrative processes
  • Help maintain accurate, organized records and consistent training documentation
Help Build Simple, Effective Processes
  • Help create and improve processes, systems, standards, and checklists that support a growing training function
  • Organize information and help ensure details are completed accurately and consistently
  • Proactively help keep training operations moving forward
What We're Looking For
  • 3+ years of experience in an administrative, coordinator, or operational support role
  • Highly organized and dependable, with strong attention to detail and follow-through
  • Comfortable balancing multiple priorities while maintaining accuracy
  • Operationally minded with the ability to create structure and improve processes
  • Calm, adaptable, and able to handle changing needs and shifting priorities
  • Comfortable managing many parallel tasks while maintaining accuracy
  • Strong written and verbal communication skills
  • Able to think ahead and anticipate needs
  • Service-focused with a collaborative mindset
  • Tech-comfortable and willing to learn internal systems and tools
  • Able to work independently while supporting a highly collaborative team
  • Proficient with Microsoft tools, including Outlook, Word, PowerPoint, and Excel
Location
This role is based in our Omaha, NE or Sioux Center, IA office.
Travel
Occasional travel may be required based on business needs, up to 10%.
