Administrative Assistant to the Associate Dean and Student Academic Support

Hiram College is seeking a full time Administrative Assistant to the Associate Dean and Student Academic Support. The individual holding this position will work to support the Associate Dean's Office in the Academic Affairs office and with staff in the Student Academic Support office. This position supports the Associate Dean in a variety of tasks, including managing the adjunct contract process, scheduling and supporting online courses and faculty, tracking faculty load, organizing new student placement in New Student Orientation, and serving on or serving as administrative support to committees including CARE, the Orientation Team, NC4, Data Reporting and Culture, and Committee on Committees. This individual works in a dynamic environment and must possess excellent organizational, interpersonal, communication and technical skills. An ability to communicate effectively with a diverse population, including faculty, staff, students and external contacts is necessary, as is the understanding of the confidentiality and proper handling of student and employee information. Above all, the responsibilities of this position are varied and changing—the individual in this position must be able to work independently and simultaneously on a variety of projects.

Duties and Responsibilities
- Work closely with the Academic Dean and Associate Academic Dean to manage the adjunct hiring process, including adjunct approval process, calls for adjuncts, scheduling interviews, managing and processing contracts, and tracking budgets. This includes graduate contracts, CCP instructors, faculty coursework outside of contract, and other miscellaneous adjunct contracts and stipends.
- Support scheduling of all graduate, summer session, and online coursework.
- Work closely with VP Academic Affairs, student academic services director, and admissions/set up advisors and schedule for orientation events. Track new students, assign advisors, create advisor schedule, assign rooms, and be present at the events to schedule and to compare numbers with admissions.
- Collect and maintain descriptions of all Urgent Challenge Seminar, POPS, and other seminar courses.
- Provide Faculty Load report to the Associate Dean.
- Maintain budget spreadsheet for all spending in the AA Dean's Office, including spending for MAIS, adjuncts, and student awards.
- Provide event coordination for Graduate Studies or other programs and events as assigned.
- Provide administrative support for the Student Academic Support Office.
Serve on key campus and faculty committees, including Coordinated Assistance Resource and Education (CARE) Team; Orientation Team; New Course and Core Committee (NC4); Support Staff Team; Data Reporting and Data Culture; Banner User Group; and Committee on Committees.
- Represent the College in a positive, professional manner while maintaining confidentiality, sensitivity, and ethically based principles while working with and within a diverse community.
- Perform other duties as assigned.

Skills and Knowledge
- Excellent organizational and time-management skills.
- Demonstrated ability to track and manage information and data, particularly student data, faculty and contract information, and other academic affairs information.
- Demonstrated comfort & confidence level with faculty, senior administrators, and staff across the college.
- Ability to work independently and manage multiple tasks simultaneously.
- Demonstrated attention to detail combined with abilities to organize, prioritize, solve.
problems Ability to maintain confidentiality.

Experience and Education
- Two to five years of administrative assistant experience required; experience in educational or non-profit institutions desirable.
- Demonstrated experience with Microsoft Office, particularly SharePoint and Excel required.
- Experience with Banner and other education data management systems desirable.
- Bachelor's degree required.
