Baird Holm is seeking an energetic and reliable Hospitality Coordinator to provide first class hospitality services to members of the firm, our clients and visitors. In this vital role, no two days will be the same as you prepare for meetings and firm gatherings by overseeing all aspects of room setup, teardowns and clean-up, acting as a liaison to vendors to ensure accurate catering and rental orders and provide exceptional customer service in all interactions. This role also helps keep firm common areas tidy, manages inventory and restocks supplies. ESSENTIAL DUTIES / RESPONSIBILITIES:

  1. Coordinate and provide hospitality services for meetings and/or gatherings held in the firm conference rooms including room configuration, set up, food/beverage service, hosting and clean up as needed.
  2. Manage all hospitality vendor relationships including caterers; arrange for all catering needs by acting as a liaison between food service vendors and the requestor to ensure proper food order and delivery time.
  3. Manage and maintain proper hospitality supply inventory levels including purchasing and expense tracking.
  4. Maintain log of catering preferences and dietary restrictions.
  5. Provides reception coverage daily (lunch coverage; other breaks) and serve as reception back-up as necessary to cover absences.
  6. Tidy conference rooms, kitchenettes, and common areas of the Firm as needed and/or requested.
  7. Inventory and restock all necessary hospitality supply closets/cabinets, kitchenettes, and toiletries on each floor daily.
  8. Assist in coordination and implementation of internal and external events.
  9. Assist Office Services by submitting work orders to building management as needed to report building safety or maintenance issues.
  10. Maintains and updates the firm portal calendar for all scheduled meetings and events in the firm conference rooms.
  11. May be asked to pick up refreshments and other supplies as needed.
  12. Provides backup and support to the Office Services (courier) staff as needed or requested.
  13. Performs other duties as requested.

EDUCATION and KNOWLEDGE REQUIREMENTS:
  • High school diploma or equivalent and 2-3 years previous relevant experience in an office setting.

SKILLS and ABILITIES REQUIRED:
  • Excellent interpersonal skills; dependable team player; well organized; self-starter; strong attention to detail; strong time management skills, and must possess good judgment and decision making
  • Exceptional verbal and written communication skills
  • Strong computer skills with knowledge of MS Office products; Word, Excel, and Outlook.
  • Must have valid driver's license, proof of acceptable insurance and a reliable automobile.
  • This position requires the ability to lift 40 pounds, rearrange conference room table and chairs, with extended periods of time standing, walking, stooping, and carrying items.
  • This position is in-office and requires a professional demeanor and neat appearance.
