Administrative Services & Facilities Coordinator

Are you a highly driven and organized individual? We're in search of a dedicated Administrative Services & Facilities Coordinator to ensure the seamless operation of our administrative functions and facility management. If you excel in multitasking, possess exceptional organizational skills, and thrive in a professional atmosphere, we invite you to apply for this key position.

This position is located in Los Angeles, CA, Temp-To-Hire, Monday-Friday 8:00am- 5:00pm, Pay Rate $20-$22+/hour.

Primary Responsibilities:

  • Mail Management: Handle incoming, outgoing, and returned mail promptly and accurately to support smooth communication channels.
  • Catering Coordination: Coordinate catering setups and breakdowns for meetings and company events, ensuring a seamless and hospitable experience for all attendees.
  • Supply Management: Maintain and replenish office supplies, including stationery, copiers, and coffee stations, to sustain uninterrupted workflow.
  • Facility Oversight: Supervise the upkeep of breakrooms, refrigerators, microwaves, and other communal spaces to uphold cleanliness and functionality standards.
  • Vendor Liaison: Serve as the main point of contact for onsite vendors, facilitating maintenance activities and ensuring timely resolutions to facility-related issues.
  • Sanitation Protocols: Implement thorough sanitation procedures for conference rooms, collaborative areas, and workstations to uphold hygiene standards.
  • Event Coordination: Manage logistics for company events, including setup, scheduling, and coordination of resources, to support successful and professional gatherings.
  • Service Request Handling: Address miscellaneous facility service requests from staff promptly and efficiently, maintaining a responsive and supportive environment.

Key Qualifications:

  • Technical Proficiency: Demonstrate competence in operating office equipment such as copiers and mailing systems, along with proficiency in Microsoft 365 applications including Outlook, Teams, Excel, and Word.
  • Communication Skills: Possess strong written and verbal communication skills to effectively liaise with colleagues, vendors, and stakeholders.
  • Organizational Excellence: Exhibit exceptional organizational and time management skills to prioritize tasks and manage multiple responsibilities effectively.
  • Maintenance Abilities: Capable of performing minor repairs using basic hand and power tools to address facility maintenance needs.
  • Team Collaboration: Work collaboratively with colleagues and external partners, contributing positively to a professional and cohesive team environment.
