Position Title: Administrative Assistant

Reports to: Operations Manager

Location: Washington D.C.

Employment Status: Full-Time

Work Schedule: Monday-Friday, 8:00am-5:00pm

FLSA Status: Non-Exempt


Position Summary: Aldevra LLC is currently seeking a qualified Administrative Assistant to support the U.S. Agency for Global Media in Washington, D.C. The Administrative Assistant is responsible for managing the day-to-day operation of over 700,000 square feet of office space. This includes, building operations and services, parking program, printing and mail services, and safety and health program. We will provide training, but the ideal candidate will already align with our core values of SOAR (Strong Integrity and Ethics, Outstanding Teamwork, Accountability-Driven and Relentless Pursuit of Quality).

This position is contingent upon contract award.


DUTIES AND RESPONSIBILITIES

The essential functions include, but are not limited to the following:

  • Provide facilities help desk support and first point of contact for customer queries and concerns.
  • Complete assignments accurately and in a timely manner on or ahead of scheduled due dates.
  • Respond to queries and service requests received by phone, email, and in person.
  • Create, assign, and monitor service requests in Ivanti Service Manager.
  • Follow up with customers, facilities team, property management, and contract service providers as needed to ensure any problems are resolved.
  • Create and update documents and spreadsheets such as contact lists, duty rosters, staff assignments, parking permit log, requisitions, and invoice payment forms.
  • Send, receive, and distribute incoming and outgoing mail and packages.
  • Maintain office supply inventories and submit office supply requests.
  • Maintain filing system.
  • Make copies and scan documents.
  • Schedule meetings and assist with special events.
  • Coordinate office equipment maintenance.
  • Assist with distributing parking permits.
  • Help maintain safety equipment and first aid stations.
  • Other duties as assigned by the Contracting Officer Representative (COR) and Facilities Director.

Qualifications:

  • Must possess a High School Diploma or equivalent.
  • Must have 5 years’ experience as an Administrative Assistant, General Clerk III, or equivalent.
  • Must possess strong skills with Microsoft Office Suite (Word, Excel, Outlook, PowerPoint, and Teams) and Adobe Acrobat.
  • Must have experience using Ivanti Service Manager or equivalent.
  • Must be resourceful, show initiative and skill to function in a demanding environment.
  • Valid driver's license.
  • Excellent verbal communication skills and telephone manner.
  • Excellent and accurate written communication.
  • Excellent attention to detail; accurate data entry.
  • Customer Focused and team-oriented work ethic.
  • Able to multi-task efficiently and accurately, focusing on quality.
