Job Description
Salary: Based on experience

Position Title:  Vice President of Operations

Reports to:  President and CEO

Type:  Full-time, exempt, core hours of 8:00 AM to 5:00 PM, with occasional meetings, events, and possible emergencies outside of core hours, local travel required with some out-of-town overnight stays

Office Location: Headquarters, Abingdon, VA

Compensation Package:  $100,000+ with additional consideration based on the candidate’s experience, administrative knowledge, technical and communication skills, and other factors that may prove relevant during the interview process.  The “Compensation Package” also includes other benefits in addition to a base salary, including paid time off, performance pay, retirement, medical, vision, and dental benefits.

Purpose of the Position

Reporting to the President and CEO, the Vice President of Operations maintains overall responsibility for the organization's administrative operations.  The Vice President provides strategic leadership in developing and maintaining the organization’s budget, overseeing risk management, and supervising, coordinating, and assisting with information technology, human resources, and facilities management support functions. The Vice President provides overall organizational leadership as a senior leadership team member.

 

Areas of Responsibility:   


Administrative Operations

 

  • Oversee development, implementation, and evaluation of all internal policies and procedures to improve the organization's overall operation, effectiveness, and internal control structure.
  • Oversee and ensure adherence to the organizational calendar, including events, board and committee meetings, and all staff meetings.
  • Oversee contract review and approval process, procurement policies, vendor management, and ensure contractual terms and costs are in the organization's best interests.
  • Assist the President and CEO and provide staff support to Board functions, including board committees, orientations, training, and updating the organization’s bylaws when needed.
  • Remain current on trends and practices in operations, continuous quality improvement, and the non-profit sector through peer association, seminar attendance, study, review of literature, and proposed legislation and review and evaluation.


Budgeting

  • Working with the Finance Department, lead the organization’s annual budget process and provide fiscal monitoring, oversight, and accountability while recommending corrective action as required.

 

Risk Management


  • Manage the organization's risk by regularly monitoring organizational controls, identifying and implementing improvements as necessary, including:
    • ensuring compliance with all federal and state laws and regulations
    • developing organizational security and emergency safety plans both encompassing physical and digital security risks and disasters
    • maintaining up-to-date organizational insurance policies and certificates of liabilities 
    • preserving organizational documentation and records following EO’s document retention policies

 

Information Technology (IT)


  • Oversee IT, manage vendors, and ensure hardware, software, communication, data management and network systems are secure, responsive, reliable, and effective.
  • Collaborate with staff and vendors to provide timely support, issue diagnosis, and repair of internal technology needs and issues.

Human Resources

  • Assist the President and CEO in the oversight of Human Resources functions, including:
    • establishing staff benefits and policies designed for attracting and retaining qualified staff
    • performing employee onboarding and overseeing talent development/training initiatives
    • developing and overseeing the staff performance evaluation process and ensuring staff work plans meet organizational goals and objectives

Facilities

 

  • Provide oversight of property management, maintenance, and upkeep of all facilities, including HVAC, electrical, plumbing, general building and office space, and other facilities needs as required.
  • Oversee the facility rental processes, including rates, scheduling, setup, and customer satisfaction.
  • Oversee inventory control, loss prevention programs, security improvement, and the review of organizational assets.

Education and Experience:


  • A bachelor's degree from an accredited four-year college or university is required.
  • At least 10 years of operations experience in progressively responsible leadership positions with at least 5 years of experience overseeing and managing multiple disciplines concurrently, including operations, budgetary, facilities, human resources, technology, and administration.
  • Verified track record of managing day-to-day operations in a medium to large, fast-paced environment.

  • Demonstrated ability to maintain a flexible work schedule and adjust it as required by changing activities.
  • Proven experience in project/budget planning and development, implementation, and management
  • Working knowledge of information systems, facilities, and business infrastructure
  • Ability to facilitate meetings and groups
  • Demonstrated skills using Windows-based software, including Internet browsers, e-mail, word processing, spreadsheet, database, and presentation software.


Residency and TravelIt is preferred that applicants reside in the service area and are available to attend early morning, evening, and/or weekend meetings on a periodic basis. They should also be able to travel independently.


Language Skills - Ability to read, analyze, and interpret the most complex documents. Ability to respond effectively to the most sensitive inquiries or complaints. Ability to write briefs and articles using original or innovative techniques or style. Ability to make compelling and persuasive speeches and presentations on controversial or complex topics to top management, public groups, and/or boards of directors.


Mathematical Skills - Ability to calculate figures and amounts such as discounts, interest, proportions, percentages, area, circumference, and volume. Ability to apply concepts of basic algebra and geometry.


Certificates, Licenses, Registrations - Valid driver's license and automobile insurance.  Credentials or certifications in facility management, human resources, and/or information technology preferred.  Access to reliable, high-speed home internet.

Job Relationship - The Vice President of Operations reports to the President and CEO.  The Vice President must maintain an ongoing working relationship with other Vice Presidents and Director level positions at EO. The Vice President serves as the main point of contact for the Operations Department, directly supervises the Facilities and Equipment Manager, and is a secondary supervisor to the Human Resources Manager.  Inside the department, the Vice President's responsibilities include interviewing, hiring, and training employees; planning, assigning, and directing work; appraising and evaluating performance; rewarding and disciplining employees; addressing complaints and resolving issues.
