Administrative Assistant

Summary/Objective
The Administrative Assistant assists with the coordination of the Company’s administrative and operational support services to facilitate the achievement of business objectives.
Essential Functions

- Maintain good internal/external customer satisfaction levels by exhibiting competent and timely service, anticipating needs, and resolving problems.
- Ensure that all incoming and outgoing emails are routed to the appropriate personnel in a timely manner.
- Maintains office efficiency by managing the procurement of copier paper, office and cleaning supplies as needed.
- Ensure that solicitation and estimating process is monitored in a timely and effective manner, inclusive of the following:
- Managing scheduling for meetings and ensuring appropriate parties are notified accordingly
- Managing/Scheduling Site Visits
- Corresponding with estimators for Pricing
- Corresponding/Writing Technical Narrative with support as needed
- Coordinate with respective managers to resolve issues pertaining to office operations, project planning and management, communication, etc.
- Ensure contracts, insurance requirements, safety standards, and legal regulations are followed properly.
- Maintain security of confidential information and assets including Corporate Documents and Files. Also answering phone calls, supporting incoming visitors, and aiding in project administration.
- Providing assistance with organizing and processing DBIDs,
- • Ensure completion of paperwork is accurate and accompanied by required federally compliant identification
• Forward base access application to both Andersen Air Force Base (AAFB) and Naval Base Guam (NBG) for approval and appointment scheduling.
• Notify managers/supervisors of scheduled base pass appointment
- Perform other reasonably related duties as may be assigned.
- Other receptionist job duties such as answering phone calls and meeting with walk in customers
Requirements
- 1-3 years of administrative experience
- Excellent organizational skills and attention to detail
- Ability to work in faced paced environments
- Driver's License
- Ability to function well in a fast-paced working environment
- Ability to demonstrate a prominent level of organization and attention to detail
- Preferred: Bachelor's Degree in Business Administration or related field.

Supervisory Responsibility
This position has no supervisory responsibilities.
Work Environment
This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.
