In this role, as Administrative Assistant at the International Institute of St. Louis, you will have the opportunity to make a tangible impact on the lives of refugees who have experienced displacement and hardship. You will be instrumental in fostering a safe and supportive environment for their successful resettlement.

The Administrative Assistant will provide assistance to the Economic Development Program and Language services. You will record keeping, data management, projects, and other department needs.

Farsi, Pashtu, or Spanish speaker preferred.

Knowledge, Skills, & Ability Requirements:
  • Customer-service minded.
  • Demonstrates sensitivity to the service population's cultural and socioeconomic characteristics.
  • Demonstrates strong interpersonal, decision-making, problem-solving, oral, and written skills.
  • Able to work, interact and communicate effectively with grant funders, community partners and volunteers.
  • Excellent administrative organizational skills which ensure multiple competing priorities are addressed and completed in a strategic and thoughtful manner

  • Acute attention to detail.
  • Ability to work independently with minimal supervision and as a member of various teams and committees.
  • Ability to communicate and interact effectively with a diverse group of individuals at all organizational levels.

  • Proficient with Microsoft operating system and MS Office suite, databases, video and teleconferencing.


Essential Responsibilities:
  • Provides operational and administrative support for one or more programs.
  • Contributes to fundraising, budgeting, research, and community outreach efforts.
  • Prepares a program event calendar, schedules meetings, and coordinates training sessions.
  • Responds to inquiries from the public with information and materials.
  • Processes and maintains a database related to donors, fundraising, volunteers, and partners using a client relationship management (CRM) or another system and generates reports.
  • Assists with the creation of promotional materials, mailings, or website content.
  • Oversee and support invoicing and receivables for business clients.
  • Coordinate and assist between multiple team members based on current and future needs.
  • Research, plan and arrange participation in conferences, travel & other logistical activities
  • Performing other assigned duties as necessary for the successful operation of the organization.


Minimum Education & Experience Requirements:
  • Associates degree required; Bachelor's degree in related field preferred.
  • One to three years of experience in an administrative role.
