What Are We Looking For?
The Telemedicine Virtual Assistant (TVA) prepares patients for telehealth visits by completing triage, demographic information, and history/questionnaires via telephone. The TVA will also complete follow-up phone calls to patients and will document their responses. The TVA completes other administrative duties such as: medical record requests, work notes, and taking phone call concerns and delivering messages appropriately for the provider to follow-up. TVA must have access to reliable, high speed internet access.
Essential Job Responsibilities:
  1. Assists with office work, such as scanning, data entry, creating aggregate reports, paperwork preparation, and more.
  2. Recognizes patient distress and takes action as necessary.
  3. Maintains an optimistic, professional career-oriented demeanor (positive role model) and complies with department dress code rules. Exemplifies excellent customer service relations with patients, visitors, physicians and co-workers.
  4. Calls patients back 48 hours after their telehealth visit and properly documents responses within medical records and forwards messages to provider appropriately.
  5. Completes work note requests and sends to either patient or their employer as needed.
  6. Completes medical record requests received within the office. Prints, scans, emails, and faxes requests in accordance to request while ensuring compliance with HIPAA.
  7. Answers phone calls and sends messages to providers as needed.
  8. Completes triage via phone including updating demographics, insurance, medical history, family history, and current medications prior to the patient’s telemedicine appointment.
  9. Communicates with diverse patient population, pre and post their telemedicine visit.
  10. Responds to digital messages in timely manner and forwards concerns as necessary.
  11. Assists with billing and charge entry, and refers patients to the billing department for assistance if needed.
  12. Move to an onsite location within two hours if the event of a remote power outage.
  13. Other duties as assigned.
Do You Have What It Takes?
Minimum Qualifications:
  • High School Diploma or equivalency (GED)
  • Flexibility to work various shifts, weekends and holidays
  • Strong interpersonal/customer service skills; must be able to communicate well with wide variety of individuals within the organization and work well in a team-based environment
  • Strong organizational skills
  • Ability to work in a fast-paced environment with multiple tasks; and strong attention to details
  • Strong verbal and written communication skills
  • Competent in Microsoft Office applications, including Word, Excel and PowerPoint
  • Knowledge of medical terminology
  • A team player and a self-starter. Able to work independently and efficiently
  • Excellent time management skills and ability to multi-task
  • Excellent customer service skills both with patients and company contacts
Preferred Qualifications:
  • One-year certificate from college or technical school with concentration in administrative support for medical settings or at least 3 years of experience in a primary care medical office, health clinic, ambulatory care clinic or occupational office
  • CMA, RMA or EMT certification
  • Experience working within a telemedicine environment
  • Medical billing and coding experience
