Job Description

The University of Nevada, Reno is recruiting for an Administrative Assistant 3 for Nevada Industry Excellence (NVIE) in Las Vegas, NV. ***This position does not provide layoff rights and is contingent upon funding. NVIE serves as an industrial extension program and also is the state's Manufacturing Extension Program (MEP) Center. This position reports to the Deputy Director and works directly with NVIE Project Managers and staff as well as with partners and clients to speed the flow of new technology, information, best business practices, and workforce development by providing direct support services in administration and marketing for NVIE initiatives. This position will provide general office support, assist with reception area and phone calls; update and maintain financial activities in Salesforce related to contacts, accounts, etc.; verify procurement card transactions, process requisitions, promptly receive deposits; assist with workshops and events, including planning, coordinating, and marketing; develop and produce printed and digital collateral per marketing plan such as flyers, promotional material, etc.; update and distribute website content, Eventbrite, social media accounts, and create the monthly NVIE newsletter; assist with marketing efforts in Salesforce; manage human resource tasks, such as initiating hires and terminations, serving as timekeeper for hourly employees; other duties as assigned.

Required Qualifications

Graduation from high school or equivalent education and three years of progressively responsible relevant work experience which included experience in one or more of the following areas: maintenance of complex records and files; public/customer relations including explaining detailed policies, regulations and requirements; preparation and processing of financial and statistical documents such as payroll, travel, claims and budgeting forms; and assisting staff and management with projects and activities; OR one year of experience as an Administrative Assistant II in Nevada State service; OR an equivalent combination of education and experience.

Preferred Qualifications

Candidates with computer skills and proficiency within Microsoft Windows and Office applications and those that have the ability to communicate effectively using excellent written, oral and computer skills; work collaboratively in a team environment; take initiative and be a self-starter and comply with detailed protocols and procedures are encouraged to apply.

Schedule

The typical work schedule is Monday through Friday from 8:00 am to 5:00 pm; this is subject to change based on organizational needs.
