Position Summary
The Vendor Contracts Specialist supports our sourcing and contract management team by assisting with the review, coordination, and administration of vendor contracts across the organization. This entry level role is ideal for candidates looking to grow their career in sourcing, legal operations, and contract administration. Working closely with senior team members, legal counsel, and internal stakeholders, the Specialist helps manage key steps of the contract lifecycle-organizing documents, tracking deadlines, coordinating reviews, performing redlining, and supporting basic sourcing activities. This position requires strong attention to detail, analytical skills, good communication skills, and an eagerness to learn.

Responsibilities
  • Supports vendor contract management activities by helping track deadlines, preparing documents, and assisting with action items that contribute to organizational goals. Reviews and manages lower risk contracts with an aim to grow contract management skills.
  • Assists in all sourcing activities, such as gathering pricing, organizing supplier information, spend analysis, searching for product/service alternatives, and helping team members prepare materials used in cost-saving initiatives.
  • Builds positive working relationships with internal customers by responding to requests, gathering requirements, and helping communicate contract or supplier updates.
  • Helps coordinate RFI, RFP, RFQ processes by collecting data, organizing responses, maintaining files, and preparing summaries or comparison documents for senior staff to review.
  • Assists in collecting and organizing data for cost analysis, including pulling spend reports and helping maintain total cost of ownership (TCO) tracking tools.
  • Supports the contract review process by routing agreements for approval, coordinating meetings with legal counsel and end user(s), and updating tracking logs for contract milestones and status. Actively grow contracting skills with help from peers, external learning, and legal counsel.
  • Participates in process improvement efforts by identifying workflow issues, offering efficiency gaining suggestions, and helping document updated procedures.
  • Demonstrates strong customer service by responding to inquiries promptly and supporting both stakeholders and suppliers with needed information.
  • Performs other duties as required or assigned which are reasonably within the scope of the duties in this job classification
  • Understands and performs in accordance with all applicable regulatory and compliance requirements
  • Complies with all standard operating policies and procedures

Qualifications
Education
  • Bachelor's Degree in Business Administration, Finance, Supply Chain Management, Legal Studies or related field preferred. preferred
  • Associate's Degree an Associate's degree plus relevant work experience will be considered. in lieu of required degree

Experience
  • 1-3 years procurement, sourcing, contract administration, supply chain, or legal operations. required
  • Less than 1 year RFI/RFP/RFQ coordination or supplier quote analysis. required
  • Less than 1 year procurement or contract lifecycle management tools (e.g., Ariba, Coupa, Jaggaer, Ironclad, Agiloft, DocuSign). preferred
  • Less than 1 year Experience in a regulated environment (e.g., healthcare, blood services, lab). preferred

Knowledge, Skills and Abilities
  • Strong analytical skills and effective written and verbal communication skills, with the ability to proactively interact with all levels of staff/leadership and/or others while achieving positive outcomes required. required
  • Basic Excel skills (sorting/filtering, lookups, pivots) and comfort with shared drives, ERP, or CLM/procurement tools (training provided). required
  • A demonstrated interest in the vendor contract review and lifecycle management along with an eagerness to deepen contract management skills. Should have experience supporting any stage of the contract lifecycle (drafting support, redlining, document routing, tracking renewals/expirations, maintaining repositories). required
  • Familiarity with contract terminology (terms, renewals, SLAs, SOWs, NDAs). Highly effective in developing relationships to facilitate dispute resolution and driving change in supplier behaviors preferred preferred
  • Customer focus to provide high value in delivering contracting services internally and externally required required
  • Ability to enforce terms and conditions with vendors and comfort level to directly address non-compliance required required
  • Strong judgment and quantitative decision-making skills required required

Licenses and Certifications
  • Relevant professional certifications (e.g., Supply Chain or Legal related) desired within 1-1/2 Yrs preferred

Tools and Technology
  • Microsoft Suite (Word, Excel, PowerPoint) required required
  • ERP (Oracle) system, Contract Management software desired required
