Job Description

The Payroll Manager is a critical role in a Company with a longstanding history and a promise of high-quality organic heirloom coffee. The Payroll Manager will be responsible for processing a biweekly payroll for salary and hourly full-time and part-time employees across ten locations including the commissary and corporate. The ideal candidate will have a strong knowledge of California and Nevada wage and hour laws, experience in the restaurant industry, and experience processing payroll for a multi-state company.  The Payroll Manager will operate in a team environment, working under tight deadlines, with confidentiality and discretion to be maintained at all times. 

 

Essential Functions:

·         Process payroll including calculation, processing, and distribution of payroll payments for bi-weekly payroll across multiple café 

           locations in Los Angeles County, Orange County, and Las Vegas.

·         Review payroll for completeness and input accurately into RealTime. 

·         Review and input of team member personnel related data for over 500 team members.

·         Audit and process new hires and re-hires into RealTime.

·         Audit and process hourly team members termination paperwork and produce termination checks when necessary.

·         Maintain all active employee files & W-4’s.

·         Audit and process reviews and rate changes.

·         Process and audit all payroll deductions for hourly team members into RealTime.

·         Audit and follow-up on exception reports and invalid W-4s.

·         Audit and process W-4 changes, address changes, and transfers.

·         Check, terminate, and maintain invalid Social Security number employee files.

·         Handle team member W-2 requests and copies.

·         Handle payroll phone calls and questions from locations.

·         Responsible for accurate and timely response to garnishment notifications.

·         Maintain accurate and timely method of reporting payroll data (i.e., journal entries) to the accounting department and other

           departments as required.

·         Responsible for processing payroll tax function including accounts set up, quarterly and annual reconciliation, amendments to tax

           filings, and preparations of W-2 forms and related annual reporting requirements.

·         Work with Human Resources to process final pay for voluntary and involuntary terminations.

·         Assist HR and Legal with subpoenas for payroll records.

·         Ensure accurate processing of medical and 401k deductions, monthly reconciliation of medical benefit deductions against vendor

           invoices.

·         Submit 401k files (Vanguard) and taxes (Ceridian) on a biweekly basis.

·         Stay current on changes to federal, state, and local payroll laws to ensure Company compliance with these laws.

·         Carry out all responsibilities in accordance with Urth Caffe standards of excellence.

·         Responsible for yearly tip reporting to IRS, which is due in February.

Physical Demands:

·         Regularly required to remain seated in a normal position for long periods of time

·         Occasionally required to reach up and out with hands and arms

·         Occasionally required to lift to 25 pounds

·         Occasionally required to push and or pull up to 25 pounds

 

Qualifications:

·         Bachelor’s degree preferred

·         High school diploma required

·         Proficient with Microsoft Office

·         Min 3 years in payroll experience required

·         Ability to preserve confidentiality of information

·         Ability to prioritize multiple tasks in a fast-paced environment

·         Strong organizational skills and attention to detail

·         Strong time management skills

·         Strong initiative and good judgement

·         Ability to work within strict deadlines

·         Ability to maintain strict confidentiality

·         Good interpersonal skills and desire to be a team player

·         Exceptional customer service skills

·         Excellent written communication skills (i.e. ability to deal effectively with others; speak professionally on the phone, etc.)
