Bid Clerk - Job Summary

At Outside The Box, the Bid Clerk position includes both Admin Assistance / Bid Procurement and is responsible for assisting the estimating team as well as the pre-construction team/PM.

Responsibilities:
  • Set up new jobs in RedTeam upon direction from Company Owner / PM / Estimator
  • Tracking new jobs to bid from multiple sources.
  • Acquiring and managing all bidding documents (plans, specs, addendums)
  • Software applications of bids – maintain on-line plan room such as Building Connected.
  • Maintain organized files of job / field folders.
  • Maintaining bid lists in Red Team, keeping all addendums and dates accurate
  • Researching bid specs for bidding requirements
  • Compiling bid documents to ensure all necessary paperwork is included
  • Assist in Sourcing subcontractors to bid
  • Issue RFQs to subcontractors to bid and follow up to ensure / track subcontractors’ intent to bid, enter in RedTeam and maintain accurate sub bidders list
  • Receive subcontractor / vendor bids- upload record in RedTeam and save to Job folders.
  • Bid Analysis / Review
  • Ordering bonds and insurance certificates
  • Contract paperwork for project setup
  • Develop complete package for Handoff from estimating to pre-construction
  • Notice to Owner Documentation
  • Soliciting subcontractors for projects
  • Creating Purchase Orders
  • Attending Bid Openings and pre-bid job site meetings
  • Performing other duties, analysis and projects as assigned
  • Must be versatile, highly organized and be able to multi-task as well as be a self-starter
  • Must also be a team player and take a pro-active approach to daily tasks
  • Good presentation and communication skills dealing with clients, vendors and teammates
Requirements:
  • 2-3 years of relevant experience
  • Strong Administrative Background
  • Excellent computer skills, Highly Proficient in MS Office, understanding of database management
  • Excellent organizational and time-management skills
  • Knowledge of Lien Law
  • Well demonstrated data entry /10 key skills
  • Excellent written and verbal communication skills 
Preferred
  • Experience with a RedTeam or other Construction Management program, and Bid Room Management Experience
