Summary
The Assistant Property Manager will be responsible for effectively computing, classifying and recording numerical data to keep financial records complete while assisting with the leasing, marketing and resident relations for the community. The entrant will perform any combination of routine calculating, posting and verifying duties to make payments to vendors, process resident rental payments and obtain primary financial data for use in maintaining property accounting records. Conducts all business in accordance with company policies and procedures, Fair Housing, Americans with Disabilities Act, Fair Credit Reporting Act, and all other laws pertaining to apartments.

Income Collection
• Maintains accurate resident records. Updates on a daily basis all rents, deposits and application fees received from residents. Issue appropriate notices when necessary (e.g., late payments, eviction notices, returned check memos.
Resident Relations
• Maintains positive customer relations attitude.
• Physically inspects property when on grounds, picks up litter and reports any service needs to maintenance staff. Will also inspect move-outs and vacancies when requested.
• Regularly attends and promotes resident events.
Marketing
• Must be knowledgeable of all phases of leasing and resident retention.
• Works with lease renewals each month.
• Greets prospective clients, shows community and performs leasing duties as needed.
• Answers and handles incoming phone calls from prospective new residents, current residents, vendor/suppliers, etc.
• Maintains awareness of local market conditions and trends. Contributes ideas to Community Manager for marketing property and improving resident satisfaction.
Administrative/Leasing
• Updates required reports concerning move-out notices, activity, etc., on a daily basis and provide information to the Community Manager.
• Organizes and files all applicable reports, leases and paperwork.
• Proof reads all lease paperwork and process move-ins and move-outs.
• Processes all security deposit move-out reports.
• Updates board indicating vacancy status on a daily basis. Coordinates with maintenance and make-ready staff to ensure timely recondition of apartments after move-out.
• Accepts service requests from residents and routes to maintenance for prompt processing. Conducts service follow-up with resident when work is completed.
• Correctly completes all lease applications, assists with application verification and notifies prospective residents of results. Type's miscellaneous resident communication as needed.
• Completes all lease paperwork including related addenda and accepts rents and deposits.
• Updates and coordinates additional property management software training.
• Schedules industry training.
General
• Performs any additional duties assigned by Community Manager or Property Supervisor.
Skills
• Knowledge of Fair Housing rules and regulations.
• Ability to be assertive and possess excellent interpersonal and communication skills.
• Ability to project a professional appearance at all times.
• Lease up experience is strongly preferred
• Outstanding customer service skills
• Excellent written and oral communication skills
• Knowledge of computer operating systems (Microsoft Word, Excel, PowerPoint, etc.)
• One-Site knowledge is preferred but not necessary
• Ability to work weekends
Supervisory Responsibility
• This position has supervisory responsibilities over leasing agents and front desk in the absence of the property manager.
Education & Experience
• 1-2 years' Luxury Assistant Property Manager Experience within multifamily housing is strongly preferred.
• High School diploma
Working Conditions
This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.
Physical Demands
The Office Support Worker will have to spend long hours sitting and/or standing using office equipment and computers which can cause muscle strain. The Office Support Worker may also have to do some light lifting of supplies and materials up to 35 lbs from time to time.
Environmental Conditions
The Office Support Worker may have to manage a number of projects at one time, and may be interrupted frequently to meet the needs and requests of residents, clients and contractors. The Office Support Worker may find the environment to be busy, noisy and will need excellent organizational and time and stress management skills to complete the required tasks.
Sensory Demands
Sensory demands include use of the computer, which may cause eyestrain and occasional headaches. The office may be noisy and busy making it difficult for the Office Support Worker to concentrate.
