Job description

The Receptionist will focus on answering internal and external calls, filing invoices, and offering administrative support across the organization.

RESPONSIBILITIES (90% customer facing/virtual / 10% supplier facing/virtual):

  • Answer, screen and forward incoming phone calls to appropriate person
  • Organize daily paperwork for accurate records
  • Greet clients and visitors with a positive and helpful attitude via phone/email
  • Receive and sort invoices as directed by manager
  • Utilize internal programs to communicate with sales team and other internal employees
  • Provide excellent customer service via email and phone
  • Perform other clerical receptionist duties such as print, copy, file and fax
  • Contribute to team efforts by accomplishing related tasks as needed
  • Maintain safe and clean reception area by complying with procedures, rules and regulations

QUALIFICATIONS:

Knowledge, Skills and Abilities:

  • Proven work experience as a receptionist, front office representative or similar role
  • Proficiency in Microsoft Office suite
  • Hands-on experience with office equipment (fax machines and printers
  • Excellent organization skills
  • Multitasking and time-management skills with ability to prioritize tasks in fast paced environment
  • Ability to be resourceful and proactive when issues arise
  • Customer interaction experience with customer focus

Education:

  • Associates degree preferred or industry experience equivalent

Experience:
