Receptionist Position

Position Overview

The receptionist will be the first point of contact for visitors and clients, handling incoming calls, directing inquiries, scheduling appointments, and maintaining a welcoming reception area. Strong communication, organizational skills, and a positive attitude are essential.

Responsibilities
  • Greet and welcome guests as soon as they arrive at the office
  • Direct visitors to the appropriate person and office
  • Answer, screen and forward incoming phone calls
  • Ensure the reception area is tidy and presentable, with all necessary stationery and material (e.g. pens, forms and brochures)
  • Provide basic and accurate information in-person and via phone/email
  • Receive, sort and distribute daily mail/deliveries
  • Maintain office security by following safety procedures and controlling access via the reception desk (monitor logbook, issue visitor badges)
  • Proficiency in office software and the ability to multitask in a fast-paced environment are also required
  • Order front office supplies and keep inventory of stock
  • Update calendars and schedule meetings
  • Arrange travel and accommodations, and prepare vouchers
  • Keep updated records of office expenses and costs
  • Perform other clerical receptionist duties such as filing, photocopying, transcribing and faxing
  • Perform additional duties as assigned.
Qualifications
  • High school diploma; additional certification in Office Management is a plus
  • Proven work experience as a Receptionist, Front Office Representative or similar role
  • Proficiency in Microsoft Office Suite and collaboration platforms such as Microsoft Teams and SharePoint.
  • Strong relationship-building, problem-solving, and organizational skills.
  • Exceptional written, verbal, and presentation communication skills.
Travel Requirements

This position does not require regular travel as part of its primary responsibilities. However, occasional travel may be required, up to 10%, primarily for occasional off-site meetings, training sessions, or company events. Travel, when necessary, will be communicated in advance and aligned with business needs.
