Why We Need You

We are seeking a temporary, full-time Supervisor, Gifts & Grants to ensure continuity of critical grant and restricted fund operations during a high-demand period, including year-end close and audit activities. This role provides hands-on, end-to-end management of gifts and grants, supporting both proposal development and post-award financial oversight to maintain compliance and service levels across the Museum.

This is a temporary position expected to continue through October 31, 2026.

What You'll Accomplish
  • Manage the full lifecycle of gifts and grants, including proposal support, award setup, financial tracking, reporting, and closeout.
  • Partner with Advancement and internal stakeholders to develop and submit grant proposals, including budgets and required documentation.
  • Ensure budgetary and financial information is accurate, complete, timely, and compliant with donor restrictions, grant agreements, and applicable regulations.
  • Monitor expenditures against gifts and grants, ensuring alignment with restrictions and contractual commitments and identifying and resolving issues as needed.
  • Maintain accurate records of restricted fund activity, including commitments, expenditures, pledges, and balances across systems.
  • Support month-end and year-end close processes, including journal entries, reconciliations, and financial reporting.
  • Prepare audit schedules and supporting documentation and respond to auditor requests related to financial and grant audits.
  • Process and review invoices, payment requests, and transactions to ensure accuracy and compliance with award requirements.
  • Provide day-to-day guidance to departments regarding allowable spending, restrictions, and fund availability.

  • Communication: Clearly explains grant and financial requirements to non-financial stakeholders.
Qualifications & Experience:
  • Bachelor's degree in Accounting, Finance, or a related field.
  • Experience managing grants, restricted funds, or nonprofit finance across the full award lifecycle.
  • Experience with grant proposal development, budgeting, and post-award financial management.
  • Knowledge of restricted fund accounting, Generally Accepted Accounting Principles (GAAP), and/or Uniform Guidance.
  • Ability to manage multiple priorities and concurrent deadlines in a fast-paced environment.
