Job description

Position Overview

In this role, you'll own the logistics that keep our hiring machine running: interview scheduling, candidate communications, and tight coordination between recruiters and hiring managers. You'll also support day-to-day internal operations to keep things running smoothly behind the scenes. If you thrive in fast-moving environments, love bringing order to chaos, and care deeply about getting the details right - this is for you.

This is a fully in-office role (5 days/week) at our San Mateo headquarters.

Responsibilities
  • Schedule and coordinate high volumes of interviews across multiple teams and time zones
  • Own candidate communications end-to-end, ensuring a seamless and timely experience throughout
  • Coordinate both virtual and onsite interviews, including logistics and panel scheduling
  • Partner closely with recruiters and hiring managers to keep pipelines moving
  • Maintain accurate candidate data and workflows in Greenhouse (ATS)
  • Track interview progress and proactively resolve scheduling conflicts before they become problems
  • Greet and host candidates on onsite interview days, making sure every visit feels polished and welcoming
  • Support HR administrative tasks including documentation and employee record-keeping
  • Provide operational support to the People team as needed
Preferred Qualifications
  • 2-5 years of recruiting coordination or recruiting operations experience
  • Experience supporting high-volume hiring environments
  • Hands-on experience with Greenhouse ATS (or a comparable system)
  • Exceptional organizational skills - you can juggle competing priorities without dropping the ball
  • Clear, professional communicator in writing and in person
  • Relentlessly detail-oriented with strong follow-through
  • Comfortable with ambiguity and energized by a fast-paced startup environment
  • Able to work in-office 5 days/week in San Mateo
