About the Role


The Student Data Manager is the operational backbone of the school's academic records function. This role owns the master schedule, manages all student data systems, and ensures that every student and family has timely, accurate information about enrollment, transcripts, grades, and scheduling. The Student Data Manager works across nearly every department in the building and is essential to the school running smoothly day to day.


Core Responsibilities


The Student Data Manager owns three core workflows:


Schedule Management and Student Placement

  • Builds the master schedule from scratch each year and owns all changes throughout the school year
  • Coordinating course requests, managing section adjustments, placing students accurately in the student information system, and communicating changes to teachers, families, and administrators in a timely way
  • Holds daily mandatory office hours to support students and families with scheduling questions and resolves conflicts quickly to minimize disruption to instruction


Academic Records and Compliance

  • Maintains accurate enrollment records, official transcripts, and all compliance documentation required by the school, network, and city
  • Running the school gradebook, exporting weekly report cards for all students, and ensuring records are complete and audit-ready at all times.
  • Tracks credit accumulation for every student and flags off-track students to the appropriate Leader as soon as concerns arise โ€” not at the end of the term


Data Reporting and Cross-Functional Support

  • Serves as the schoolโ€™s central data resource
  • Producing regular reports on enrollment, attendance, and academic progress for school leadership; supporting the Leadership Team with course placement and section change decisions; and partnering with the Director of Pathways on transcript pulls, graduation audits, and Regents compliance


Staffing and Reporting Relations


The Student Data Manager reports directly to the Principal in Residence. This role does not have direct reports.


The Student Data Manager works closely with:

  • Deans of Instruction (STEM and HUM) on course placement, section changes, and off-track student flags
  • The Director of Pathways on transcripts, graduation audits, and Regents compliance
  • The Dean of Operations on scheduling logistics, testing accommodations, and facilities coordination
  • Classroom teachers on gradebook management and report card accuracy
  • Families and students through daily mandatory office hours



Qualifications


  • Bachelorโ€™s degree required
  • Minimum 2 years of experience in a school-based administrative or data management role
  • Prior experience with a student information system required (ATS, Infinite Campus, or similar strongly preferred)
  • Demonstrated experience building or managing a school master schedule preferred
  • Proficiency in Google Sheets or Excel; comfort working with large data sets

Compensation


The salary for this position begins at $70,000. Salaries are determined using an equitable compensation scale that accounts for years of experience and levels of attained education.
