Job description

Position Summary
The Data Manager is responsible for overseeing all student enrollment, withdrawal, and records management processes for grades K-12. This role ensures the accuracy, integrity, and timely maintenance of student data within Infinite Campus and coordinates the secure transfer of student records with other schools using Scribbles and fax systems. The Data Manager plays a critical role in compliance, reporting, and supporting school operations through accurate data management.
Key Responsibilities
Enrollment & Withdrawal Management
  • Manage all K-12 student enrollments and withdrawals in a timely and accurate manner
  • Ensure proper documentation is collected, verified, and maintained for each student
  • Monitor enrollment status and maintain up-to-date records for reporting and compliance
  • Communicate with families and schools regarding enrollment requirements and missing documentation

Student Information System (Infinite Campus)
  • Accurately enter, update, and maintain all student data in Infinite Campus
  • Perform regular data audits to ensure completeness and accuracy
  • Troubleshoot and resolve data discrepancies in collaboration with office staff
  • Generate reports as needed for leadership, compliance, and state reporting

Records Management & Transfers
  • Process student records requests using Scribbles and fax systems
  • Send and receive cumulative records in compliance with FERPA and school policies
  • Help maintain organized digital and physical student files
  • Track incoming and outgoing records to ensure timely processing

Compliance & Data Integrity
  • Ensure all processes align with state, federal, and organizational regulations
  • Maintain strict confidentiality of student information
  • Support audits and compliance reviews by providing accurate documentation
  • Stay current on policies related to student data and records management

Collaboration & Support
  • Work closely with school leadership, front office staff, and counselors
  • Support operational needs related to student data and reporting

Other duties as assigned.
Qualifications
  • High school diploma required; associate's or bachelor's degree preferred
  • Experience with student information systems (Infinite Campus strongly preferred)
  • Experience in K-12 enrollment, records, or school administration preferred
  • Strong attention to detail and accuracy
  • Excellent organizational and time management skills
  • Ability to handle confidential information with discretion
  • Strong communication and problem-solving skills

Technical Skills
  • Proficiency in Infinite Campus or similar SIS
  • Familiarity with Scribbles or student records platforms
  • Experience with fax systems and digital document management
  • Proficiency in Google Workspace
