Job description

A Learning Community

Notre Dame High School, San Jose is the center for women’s leadership in Silicon Valley and has provided an exceptional Catholic college preparatory education for young women since 1851. The SIS Specialist will manage the student information system, Powerschool, and all related current and historical data. The specialist acts as Custodian of Records, support for vital compliance pieces and integration of other programs that tie into PowerSchool directly. This position provides support and training for faculty and staff on PowerSchool and PowerTeacher, as necessary. The SIS Specialist functions as the Master Scheduler, managing the course catalog, UC/CSU approval process and end-user reports. 

Custodian of Records  

  • Serves as Notre Dame's appointed Custodian of Records for the State of California
  • Manages access & security of all student records
  • Maintains a directory of all digital and physical records
  • Submits annual private school affidavit to the State of California
  • Submits Cal Grant GPA to California Student Aid Commision
  • Documents where and how digital data is stored and backed-up
  • Ensures the safety of all data and digital records

       Compliance Management

  • Maintains, manages and submits all compliance related documents and records required by the State of California, Diocese of San Jose and other applicable agencies
  • Manages and maintains attendance records, NCEA association documents, faculty and staff directory, course catalog, criminal records compliance, school transportation documentation, immunization records and other related data as assigned

       Student Information System Management

  • Generates accounts for all student information systems, including third-party programs
  • Provides oversight to account management (i.e. password reset, maintain a directory of user privileges) for all student information systems, including third-party programs
  • Provides daily user support for SIS systems
    • Users include, but are not limited to students, families, faculty and staff
    • Systems include, but are not limited to PowerSchool and PowerTeacher
  • Coordinates data sharing and/or migration between the SIS and related systems
  • Oversees database management and supply reports as needed.
  • Oversees SIS updates & compatibility
  • Manages SIS customizations across all programs
  • Manages the SIS Ecollect plugin and update and reset as needed.
  • Coordinates master schedule
    • Oversees course catalog updates
    • Creates the master schedule with knowledge of graduation and college entrance requirements
  • Facilitates the course approval process for the University of California and California State University systems
  • In collaboration with the Testing Coordinator, uploads advanced placement (AP) and standardized test scores (e.g. SAT) to PowerSchool to assure record-keeping.
  • Creates and designs end user reports (report cards, transcripts, form letters)
  • Coordinates Grade Term Reporting
    • In collaboration with the Director of Teaching & Learning, monitors faculty closing of term grades.
    • Processes term grades and submits reports to Administration Team
    • Sends Head of School’s communication out with the term Progress Report/Transcript to parents and students using PS Swiftk12 communication portal.
  • Coordinates Student Work Permits
    • Manages and issues student work permits.
  • Provides monthly reports to the Director of Student Life of students who are not in compliance with their work permit.

Minimum Qualifications:

  • Bachelors degree or equivalent years of work experience
  • Prior experience working with the PowerSchool Student Information System or other Student Information System
  • Experience working with database systems
  • Knowledge to write and edit custom HTML/CSS/JavaScript
  • Intermediate/advanced with SQL and PowerSchool proprietary tags/code (PSHTML)
  • Intermediate proficiency with G Suite and MS Office
  • Experience with basic software installation
  • Excellent organization, communication, and accuracy required
  • Ability to handle confidential matters
  • Advanced written, oral and interpersonal communication skills
  • Excellent problem-solving skills

Preferred Qualifications:

  • Previous experience in K-12 education
  • Experience with school admissions and fundraising software
  • PowerSchool certifications and training
  • Extensive intermediate instructional and/or technical writing experience
