POSITION TITLE
Student Data and Technology Services
REPORTS TO
School Business Administrator or Designee
JOB GOAL
The Student Data and Technology Services position supports the Business Office by ensuring the accuracy, integrity, and effective use of student-related data and technology systems. This role bridges student information systems, business operations, and technology services to support enrollment, state reporting, budgeting, compliance, and operational decision-making.
ESSENTIAL DUTIES AND RESPONSIBILITIES






  • Maintain accurate student data within the Student Information System (SIS), including enrollment, demographics, attendance, residency, program participation, and withdrawal records.
  • Manage and support NJDOE student data systems and submissions, including but not limited to NJSMART, SID Management, ASSA-related student data, and other state-mandated collections.
  • Perform timely and accurate data entry, updates, audits, and reconciliations related to student records that impact state aid, tuition billing, transportation eligibility, and special programs.
  • Support enrollment counts, projections, and verification processes used for budgeting, staffing, and state reporting.
  • Collaborate with registration, guidance, transportation, special services, IT, and school administration to ensure consistency and accuracy of student data across all district systems.
  • Assist with McKinney-Vento student identification, tracking, and reporting in coordination with district liaisons and the Business Office.
  • Reconcile student data between SIS, financial systems, transportation systems, and third-party platforms; research and resolve discrepancies.
  • Generate standard and ad hoc reports for the School Business Administrator, Superintendent, Board of Education, auditors, and regulatory agencies.
  • Support and maintain web-based platforms and technology tools used for online registration, forms, workflows, and internal data management.
  • Assist with system integrations, data imports/exports, testing, and upgrades related to student, financial, and reporting systems.
  • Maintain written documentation for data standards, procedures, reporting calendars, and internal controls.
  • Ensure confidentiality and security of student records in compliance with FERPA, NJDOE regulations, and district policies.
  • Provide user support and basic training to staff related to student data systems, reporting tools, and technology workflows.
  • Assist with audits, monitoring visits, and data requests from NJDOE and other oversight entities.
  • Create, manage, and maintain Business Office website.

QUALIFICATIONS

  • Bachelor's degree in Business Administration, Information Systems, Education Administration, Data Analytics, or a related field; or a minimum of three (3) years of relevant experience in a New Jersey public school district business office, student data, or technology support role.
  • Demonstrated experience with Student Information Systems and NJDOE reporting platforms (e.g., NJSMART, SID Management, ASSA) preferred.
  • Knowledge of student data reporting requirements and their impact on state aid, tuition, and compliance strongly preferred.

REQUIRED SKILLS AND ABILITIES

  • Strong attention to detail and commitment to data accuracy.
  • Proficiency in Microsoft Excel, Google Workspace, and database-driven applications.
  • Ability to analyze data, identify discrepancies, and resolve issues efficiently.
  • Understanding of student data reporting and its impact on funding and compliance.
  • Strong organizational, time-management, and communication skills.
  • Ability to handle confidential information with discretion.
  • Ability to work independently and collaboratively across departments.

WORKING CONDITIONS

  • Office-based position with extensive computer and data system use.
  • PART TIME hours

TERMS OF EMPLOYMENT

  • As per negotiated agreement and/or Board of Education policies (Between $30,000 - $35,000)

EVALUATION

  • Performance will be evaluated by the School Business Administrator or Designee in accordance with district policy.
