What is a retainer?

A Retainer job typically refers to a role where an individual or company is paid a fixed fee regularly to provide ongoing services as needed. This arrangement is common in legal, consulting, and creative industries, where clients require consistent access to expertise without hiring a full-time employee. Retainers offer stability for both the service provider and the client, ensuring availability and commitment. The scope of work and payment structure are usually outlined in a contract.

What are the key skills and qualifications needed to thrive in the retainer position, and why are they important?

To thrive as a Retainer, it is essential to have a background in legal or consulting services, with expertise in client management and specific industry knowledge relevant to the retained field. Familiarity with case management systems, project tracking tools, and sometimes certifications such as a law degree or relevant consulting qualifications can be required. Excellent communication, problem-solving abilities, and discretion help Retainers build trust and maintain long-term client relationships. These skills and qualifications are crucial for consistently delivering high-value services, managing multiple client expectations, and sustaining ongoing business engagements.

What are the typical work arrangements and expectations for someone working on retainer?

Working as a Retainer usually involves an ongoing contractual relationship with clients, where you provide services or expertise on a regular basis, often in exchange for a fixed monthly or annual fee. This arrangement allows for flexibility, but also means you must be consistently available to address client needs, respond to requests promptly, and proactively offer guidance or solutions. Retainers often communicate frequently with client teams, manage multiple priorities, and may need to adapt quickly to shifting project scopes or environments. Over time, this continuous engagement can provide stability and opportunities to deepen industry knowledge or advance within the organization or consulting field.

Legal Intake & Retention Specialist

Ascension Global Staffing & Executive Search

Miami, FL

$17 - $22.75/hr

Full-time

Re-posted 8 days ago

Job description

Ascension Global Staffing & Executive Search, a Hispanic Women Owned & Operated National Recruiting Firm stands at the forefront of innovation and excellence. Led by a visionary team with a deep commitment to diversity and inclusion, our firm is dedicated to identifying and attracting top talent across the nation. With a unique blend of cultural insight and professional expertise, we pride ourselves on creating an environment that fosters success for both employers and candidates.

Our client is a boutique law firm in Coral Gables serving clients in real estate transactions and general litigation. The firm is known for its personalized approach and is seeking a driven, polished professional to own the client conversion process from first contact to retained.

The Role

This is not a traditional receptionist or paralegal role. The Legal Intake & Client Retention Specialist is the firm's first voice and closer. You will take warm leads from the intake clerk, consult with prospective clients, present the firm's services compellingly, and guide them through the full onboarding process: retainer, payment, and beyond. The attorney stays focused on the law. You keep the pipeline full and the clients moving.

What You'll Do

  • Receive incoming leads from the intake clerk and conduct client consultations
  • Clearly communicate the firm's services, value, and fee structure
  • Convert prospective clients into retained clients
  • Prepare and send retainer agreements
  • Collect and process initial payments
  • Maintain accurate records of all intake activity and follow up on pending leads
  • Serve as the primary point of contact through the onboarding phase

What You Bring

  • Prior experience in a law firm, legal sales, or client-facing intake role strongly preferred
  • Exceptional communication skills — warm, confident, and persuasive on the phone
  • Familiarity with real estate or litigation matters is a plus
  • Ability to explain legal services clearly without practicing law
  • Comfortable handling payment processing and retainer documentation
  • Highly organized, self-directed, and accountable
  • Bilingual English/Spanish a strong plus given the Coral Gables market

Compensation

Competitive base salary commensurate with experience.
