Position Summary

At La Follette Johnson, the Legal Calendar Clerk manages and maintains the department’s master calendar, ensuring all court deadlines, hearings, appointments, and critical dates are accurately recorded and communicated. This role processes all incoming mail and creates new case files.

Successful candidates have exceptional attention to detail, strong organizational skills, and the ability to work effectively in a fast-paced legal environment. The Legal Calendar Clerk plays a key role in supporting attorneys and staff by helping the firm stay compliant with court rules and deadlines.


Position Responsibilities

  • Perform calendaring/docket functions in ProLaw and Outlook.
  • Review court website and calendar all relevant dates.
  • Review and calendar all incoming documents and correspondence deadlines.
  • Review, calendar, and process all incoming/outgoing mail to determine due dates and any deadlines; enter as necessary in ProLaw and attorney’s calendar.
  • Create new matters in ProLaw and Word in compliance with firm policies.
  • Calculate court and firm deadlines and enter in ProLaw and attorney’s Outlook calendar.
  • Process and forward information regarding each deadline docketed to the appropriate staff and attorneys.
  • Assist with maintenance of our litigation database; including maintaining accurate client information and case status in ProLaw.
  • Respond to inquiries from attorneys and staff regarding docket entries.
  • Prepare ProLaw reports for attorneys and staff.
  • Maintain rule sets used in ProLaw software.
  • Provide ongoing training and exposure to our staff and attorneys with docket policies, procedures, best practices and changes to court and firm rules and deadlines.
  • Monitor the electronic court filings.
  • Stay updated on California Code of Civil Procedure (CCP) and local court rules to ensure strict compliance.
  • Ensure all entries are properly annotated and verified for accuracy before finalizing the record and generating documents.
  • Assist in providing vendor invoices to accounting.
  • Saving and renaming documents (per firm’s procedures) in the appropriate electronic folders.
  • Assist in maintaining documents and folders in an organized manner.
  • Assist with assigned special projects.
  • Perform other work-related duties as assigned.


Position Requirements

  • A minimum of two (2) years' experience in calendaring in a law firm or law department
  • Proficiency in ProLaw or a similar docketing program
  • Experience with automated docketing/calendaring programs
  • Familiarity with docketing best practices, resourceful in obtaining data accuracy verification
  • Knowledge of and a strong understanding of California state/federal court rules and civil procedures
  • Must be dependable and responsible
  • Familiarity with legal processes and terminology is required
  • Excellent interpersonal skills, including written and verbal communication
  • Ability to multitask with high attention to detail and excellent follow-through on all items
  • Ability to prioritize in a fast-paced environment
  • Ability to perform duties and responsibilities with minimal direction
  • Advanced knowledge of Microsoft Office Suite and a minimum of intermediate experience with Adobe Creative Suite (or similar program)
  • Should be resourceful and a good problem-solver
  • Ability to effectively organize, prioritize, and complete tasks
  • High standards of ethics, professionalism, and judgement
