Job description

Poole Family Law, a solo attorney firm practicing family law and estate planning, is seeking a proactive, detail-oriented Part-time Firm Administrator to support daily operations. The role covers client communications, scheduling, matter organization, billing, document management, marketing, general office coordination, and some substantive case work — ideal for someone who enjoys building systems and taking ownership in a small professional office.


This is a hands-on role with meaningful responsibility in an environment where priorities shift throughout the day. Success requires professionalism, adaptability, sound judgment, confidentiality, attention to detail, and follow-through.


This hybrid part-time position requires approximately 20–25 hours per week, with in-office work in Apex, North Carolina at least one day a week. Applicants should live within reasonable commuting distance of the Triangle area.


Primary Responsibilities


Client Service & Communication

•     Serve as a professional, responsive point of contact for prospective and current clients, including intake, documentation, and coordinating consultations and follow-ups.

•     Communicate professionally with clients, the attorney, courts, agencies, opposing counsel, vendors, and other third parties.

•     Ensure client communications are timely, organized, and handled with empathy and confidentiality.

•     Support a positive experience for individuals and families navigating sensitive family law and estate planning matters.


Administrative & Matter Support

•     Prepare, proofread, organize, and maintain legal documents, correspondence, and client materials, including filing, scanning, and record management.

•     Support the attorney with administrative tasks related to client matters, court filings, mediation preparation, and general matter management.

•     Maintain firm templates, checklists, workflows, and internal procedures.

•     Assist with billing-related tasks, including time entries, invoicing, payment tracking, and client account organization.


Scheduling & Firm Operations

•     Manage the attorney's calendar, schedule consultations and meetings, and track deadlines and follow-up items.

•     Process incoming and outgoing correspondence, including mail, email, and document deliveries.

•     Keep the office organized and prepared for client meetings and day-to-day operations, including supplies and vendor communications.


Technology & Systems

•     Use case management software, Microsoft Office, Adobe Acrobat, and other firm technology to complete tasks efficiently and maintain accurate client and matter records.

•     Prioritize multiple assignments and adapt to changing needs in a solo attorney environment.


Marketing & Business Development

•     Assist with the firm's social media and other marketing initiatives as assigned.

•     Maintain organized marketing contacts and referral information and support community outreach and networking efforts.


Required Qualifications

•     Associates degree.

•     At least two (2) years of experience in a law firm or legal professional office.

•     Excellent written and verbal communication skills.

•     Strong organizational skills with exceptional attention to detail.

•     Ability to manage multiple priorities and meet deadlines in a fast-paced environment.

•     Sound judgment, professionalism, and discretion with confidential client information.

•     Strong client service skills, including empathy and responsiveness.

•     Reliable, adaptable, and able to take initiative amid changing priorities.

•     Ability to work independently while communicating effectively with the attorney and firm vendors.

•     Ability to quickly learn new software, legal procedures, court processes, and practice-area workflows.

•     Comfort supporting clients through stressful or emotional family law and estate planning matters.


Preferred Qualifications

Experience with the following is preferred:

•     Family law and/or estate planning support

•     Microsoft Office (Word, Outlook, Excel)

•     Adobe Acrobat

•     Clio or similar practice management software

•     North Carolina Notary

•     North Carolina eCourts

•     Electronic filing and document management systems

•     Social media and professional-services marketing
