Ava Labs is seeking a dedicated Legal Operations Analyst to support the legal team. This position will play a key role in building a world class legal department for one of the most dynamic technology companies on the planet, ensuring alignment and efficiency in the execution of critical tasks. This position includes working closely with the finance team to foster seamless communication and coordination between departments.
WHAT YOU WILL DO
Contract Management Platform Support & Organization
  • Manage daily operations of the contract management platform, ensuring accurate processing and filing
  • Conduct regular audits and implement process improvements to optimize workflows
  • Collaborate across teams to maintain compliance and organization

Record-Keeping & Project Management
  • Maintain legal and compliance records, updating protocols as needed
  • Coordinate projects, tracking timelines and deliverables to ensure smooth execution
  • Provide administrative support to enhance team efficiency

Patents & Trademarks
  • Assist with patent & trademark applications by collaborating with internal and external counsel and inventors during patent application processes
  • Manage and maintain the company's IP portfolio

Policy & Procedures Updates
  • Support the development and maintenance of KYC and AML compliance procedures
  • Regularly review and update internal legal protocols
  • Manage the legal review of company communication materials

Account Onboarding
  • Assist, as needed, with account onboarding, ensuring seamless setup and workflow alignment
  • Act as a liaison between Legal, Finance, and Operations to resolve overlapping responsibilities
  • Implement improvements to streamline onboarding processes

WHAT YOU WILL BRING
  • Bachelor's or Associate's degree
  • 5+ years experience in an administrative role
  • Experience managing workflow processes for a minimum of 10 people
  • Preferred experience at a law firm, tech company, or in-house legal department
  • Advanced experience with Google Business Suite (GSuite)
  • Extremely organized, detail oriented, and can prioritize effectively
  • Excellent listening and communications skills
  • Proactive attitude to take ownership, anticipate needs, and independently seek ways to contribute to team efficiency
  • Collaborative mindset to work seamlessly with teams across functions
  • Able to work independently and can easily adapt to different tasks
  • Work a hybrid schedule in the Brooklyn office 2 days a week - only if in NYC

Salary Range: $97,276 to $121,595
