Billing Assistant

Pay rate: $25 to $30 per hour

We are seeking a detail-oriented and proactive Billing Assistant to join the Billing & Collections department of a prestigious law firm. This role is essential for ensuring the timely and accurate distribution of billing materials and supporting our Billing Coordinators in the high-volume delivery of client invoices.

This is an excellent opportunity for a professional who excels in a team-oriented environment and possesses a high level of facility with numbers and financial data.

Key Responsibilities

  • Invoice Preparation: Prepare monthly billing packages for assigned partners and matters, including processing transfers, edits, and write-offs.
  • Data Analysis & Auditing: Utilize Elite 3E to analyze and reconcile billing information. Perform disbursement pricing activities, including recalculating expenses for meals and transportation to ensure accuracy.
  • Compliance & Quality Control: Audit electronic billing files and upload them to various intermediary websites. Ensure 20% mark-up changes and other client-specific billing requirements are accurate.
  • Reporting: Generate and review reports using 3E and MS Excel to identify time and expense duplicates and track soft expense activity.
  • Process Coordination: Identify and notify delinquent timekeepers to ensure billing deadlines are met; research and resolve missing information related to billing materials.
  • Relationship Management: Develop and maintain a strong rapport with Partners and support staff to facilitate smooth billing operations.
  • Documentation: Maintain and audit billing files, ensuring all backup documentation is complete and filed appropriately for client review.

Qualifications & Skills

  • Technical Proficiency: Strong experience with Microsoft Excel and Word is essential.
  • Analytical Ability: A high level of comfort with numbers and financial reporting.
  • Detail Orientation: Exceptional accuracy in data entry and auditing, with the ability to manage complex billing requirements.
  • Communication: Excellent verbal and written communication skills for interacting with internal stakeholders.
  • Flexibility: Must be able to work overtime on short notice to meet monthly billing deadlines.
  • Information Security: A commitment to maintaining firm and client confidentiality and adhering to strict information security policies.
