Job description

TDE Family Law & Divorce Attorneys is centrally located in the heart of Atlanta, offering excellence in family law and criminal defense. Our mission is to assist families going through tough times to transition into a brighter tomorrow with vigorous legal advocacy when they need it most.

We are a growing midsize law firm seeking an experienced Billing Specialist to support our billing, accounts receivable, collections, and client payment processes. This role is critical to ensuring accurate invoicing, timely collections, proper handling of client payments, and compliance with trust accounting requirements.

The ideal candidate is detail-oriented, systems-savvy, highly organized, and comfortable communicating with clients, attorneys, and firm leadership regarding billing and account matters. This position works directly within MyCase, LawPay, and Lawmatics and supports the firm’s financial operations and client experience from intake through case resolution.

Compensation:

$27 - $30 hourly


Responsibilities:
  • Prepare accurate client retainer agreements based on approved fee structures and engagement terms, ensuring all billing and payment provisions are properly reflected before agreements are issued to clients.

  • Prepare, obtain, and maintain completed payment authorization forms for clients, ensuring payment information and authorization details are accurately documented.

  • Establish and maintain scheduled client payments in accordance with approved payment arrangements, retainer agreements, and established payment dates.

  • Process client payments accurately and timely, including credit card and ACH transactions, and ensure payments are properly applied to the appropriate client and matter.

  • Accurately record client-related expenses, costs, and other billable charges to the appropriate matters to ensure complete and accurate client billing.

  • Prepare, review, and issue client invoices and billing statements, verifying charges, payments, expenses, and account balances for accuracy prior to distribution.

  • Routinely monitor client Trust Account balances to identify accounts approaching or falling below required retainer levels and ensure funds are properly reflected on client accounts.

  • Notify and follow up with clients regarding required Trust Account replenishments and monitor accounts to ensure required funds are received timely.

  • Monitor outstanding client balances and Accounts Receivable aging, identify delinquent accounts, maintain accurate records of outstanding balances, and provide appropriate follow-up until balances are resolved.

  • Conduct consistent and professional collection efforts on past-due client accounts, including contacting clients regarding outstanding balances, following up on payment commitments, documenting collection activity, and escalating unresolved or significantly delinquent accounts to leadership as appropriate.


Qualifications:
  • 3+ years of legal billing, accounts receivable, or related law firm financial experience.

  • Experience with legal billing and client payment processes.

  • Understanding of trust/IOLTA accounting requirements.

  • Strong attention to detail and commitment to accuracy.

  • Excellent organizational and time-management skills.

  • Professional written and verbal communication skills.

  • Ability to work independently and manage priorities within a part-time schedule.

  • Proficiency with Microsoft Excel and financial reporting.

Preferred Qualifications

  • Hands-on experience with MyCase, LawPay, and Lawmatics, or comparable legal practice-management and payment systems.

  • Prior billing experience in a family law or other high-volume law firm.

  • Experience working in a midsize or growing firm environment.

  • Associate’s or bachelor’s degree in Accounting, Finance, Business Administration, or a related field.
