Customer Success Team (CST) โ€“ Federal Government Teamย 

Job Descriptionย 

Safeware, Inc. is seeking a Customer Success Team Member (CST) to support our Federal Government Sales team. This role combines core CST responsibilities with specialized support for federal sales operations, including bid management, contract compliance, and government procurement processes.ย 

The CST serves as a critical link between customers, vendors, contracts, and the sales teamโ€”ensuringย timely,ย accurate, and compliant execution of orders and bids within the federal space. This is a Remote position.ย 


Key Responsibilitiesย 

Customer Support & Order Managementย 

  • Respond to inbound customer inquiries via phone and emailย regardingย product availability, pricing, order status, tracking, and lead times.ย 

  • Process customer orders andย maintainย accurateย records in Epicor Prophet 21.ย 

  • Track and manage orders from quote to delivery, ensuringย timelyย updates and resolution of issues.ย 

  • Provide freight estimates, rush requests, and coordinate solutions to meet required delivery timelines.ย 

  • Source products through existing and new vendors to meet customer needs.ย 

Federal Sales & Bid Supportย 

  • Support the Federal Sales team with new bid opportunities andย assistย in preparing andย submittingย pricingย quotes.ย 

  • Search for andย monitorย opportunities across federal bidding platforms such asย GSAย eBuy, SAM.gov, Unison, and other bid boards.ย 

  • Assistย in managing sales accounts, including prime vendors and end users within the Department of Defense and other federal agencies.ย 

  • Collaborate with the Contracts team to review solicitations,ย termsย and conditions, and required documentation to ensure compliance.ย 

  • Work with Vendor Relations to obtain DORs (Dealer of Record), special pricing, and other vendor communications.ย 

Contracts & Complianceย 

  • Learn and apply knowledge of federal contract vehicles to ensure sales align withย appropriate agreements.ย 

  • Ensure all transactionsย comply withย federal regulations, includingย TAAย (Trade Agreements Act)ย andย Berry Amendmentย requirements.ย 

  • Understand and adhere to requirements for handling sensitive government security information.ย 

  • Support internal teams and customers in understanding contract terms and proper usage.ย 

General CST Responsibilitiesย 

  • Maintain detailed records of customer interactions, transactions, and resolutions.ย 

  • Identifyย customer needs and provide solutions to ensureย high levelsย of satisfaction.ย 

  • Communicate effectively with internal teams and escalate issues as needed.ย 

  • Assistย with inventory processes and other operational tasks asย required.ย 

  • Continuously build knowledge ofย Safewareย products, vendors, and federal procurement processes.ย 

Qualificationsย 

  • High School diploma or GEDย required;ย additionalย education preferredย 

  • 1+ year of customer service experience in a fast-paced environment (distribution experience preferred)ย 

  • Strong attention to detail, especially in compliance-driven environmentsย 

  • Ability to manage multiple priorities and meet deadlinesย 

  • Excellent written, verbal, and interpersonal communication skillsย 

  • Proficiencyย in Microsoft Office (Word, Excel, Outlook)ย 

  • Ability to work both independently and collaborativelyย 

Preferred (Can Be Developed Over Time)ย 

  • Experience with federal procurement platforms (GSAย eBuy, SAM.gov, Unison)ย 

  • Familiarity with government contracts and compliance requirementsย 

  • Understanding of federal sales cycles and bid processesย
